Overview
The National Corporate Development Assistant is responsible for providing administrative, operational, financial and event support to ensure the efficient day-to-day functioning a fundraising department.
Responsibilities include but are not limited to:
1. Provide administrative support to the National Corporate Development Director.
2. Manage calendars, meetings, travel arrangements, conferences, and department schedules.
3. Prepare and distribute correspondence, reports, proposals, presentations meeting agendas, donor packets and other business documentation as needed.
4. Oversee the maintenance of department files to ensure accurate recordkeeping and documentation.
5. Coordinate check presentations and campaign recognition materials with regional teams and community partners.
6. Maintain tracking spreadsheets and inventory to ensure timely distribution of materials.
7. Coordinate logistics and organization of meetings
8. Oversee and coordinate shipping and distribution of materials for fundraising campaigns, department initiatives and special projects.
9. Oversee and ensure the maintenance of accurate constituent & donor contacts, meeting and interaction records, and activities are documented in CRM platform(s).
10. Oversee the processing of purchase orders, invoices, check requests and other accounting-related transactions.
11. Generate financial, operational, and departmental reports and analyze data as requested.
12. Manage procurement, inventory and distribution of office supplies, promotional materials, campaign resources, and donor recognition items.
13. Serve as the department’s primary liaison with IT and Facilities departments for related needs.
14. Coordinate departmental timelines and administrative processes to ensure timely completion of projects.
15. Provide operation and logistical support for department initiatives and cross-functional projects.
Required Qualifications:
1. 3-5 years high-level administrative experience
2. Marketing, Development, and/or Event experience preferred
3. Proficiency in Microsoft Office Suite, including Teams
4. Multi-tasking capable and deadline oriented
5. Excellent organizational skills
6. Exemplary oral and written skills
7. Capable of maintaining confidentiality and working with tact and diplomacy
8. Able to manage multiple and varied tasks
9. Must be able to lift and carry up to 20 lbs.
