Overview
We are seeking two dedicated and detail-oriented Property Management Assistant to support our property management team in delivering exceptional service and operational excellence. This position will require you to travel as needed to properties within the Pittsburg area to provide coverage. The ideal candidate will possess strong administrative skills, a solid understanding of property management processes, and a proactive approach to client relations. This role offers an opportunity to develop expertise in real estate administration, lease management, and property maintenance within a dynamic and professional environment. The Property Management Assistant will play a vital role in ensuring smooth day-to-day operations, compliance with regulations, and positive tenant experiences.
Responsibilities
- Assist in managing lease or rental agreements, ensuring accurate data entry, filing, and timely renewals.
- Support property management activities using tools such as Yardi, OneSite, and CMMS to track occupancy, maintenance requests, and financial transactions.
- Coordinate property maintenance schedules and liaise with vendors to ensure timely repairs and upkeep.
- Maintain comprehensive records related to tenant communications, legal documents, and compliance requirements including Fair Housing regulations and LIHTC guidelines.
- Handle client communication via phone and email with professionalism, demonstrating excellent phone etiquette and customer service skills.
- Assist in budgeting processes by tracking expenses, processing invoices, and supporting financial reporting efforts.
- Contribute to conflict management by addressing tenant concerns promptly and escalating issues when necessary.
- Support team management activities by organizing meetings, preparing reports, and facilitating effective communication across departments.
Requirements
- Proven experience in property management or real estate administrative roles; familiarity with property management tools such as Yardi or OneSite is highly desirable.
- Knowledge of landlord-tenant law, Fair Housing regulations, Section 8 housing programs, LIHTC compliance, and lease or rental agreement management.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) for data entry, reporting, and correspondence.
- Experience with property maintenance coordination and facilities management practices.
- Excellent organizational skills with attention to detail for filing, record keeping, and contract management.
- Effective conflict resolution skills coupled with the ability to manage client relationships professionally.
- Ability to work collaboratively within a team environment while demonstrating leadership qualities when necessary.
- Office experience in a fast-paced environment that requires multitasking and prioritization skills.
