Job Summary
We are seeking a customer-focused and detail-oriented Customer Service Representative to join our team. This role serves as the primary point of contact for customers, providing exceptional service while managing orders, coordinating with internal departments, and ensuring a seamless customer experience from order placement through delivery.
The ideal candidate is organized, proactive, and thrives in a fast-paced environment while maintaining a high level of professionalism and accuracy.
Responsibilities
- Respond promptly and professionally to customer inquiries via phone and email, providing exceptional customer service and timely follow-up.
- Process customer orders accurately in NetSuite, including order entry, order modifications, and customer account updates.
- Provide customers with order confirmations, shipment status, product availability, pricing, and delivery information.
- Coordinate with Sales, Warehouse, Purchasing, Logistics, and Accounting to ensure accurate and timely order fulfillment.
- Resolve customer concerns, order discrepancies, shipping issues, returns, and warranty requests in a professional and timely manner.
- Maintain accurate customer records and documentation within NetSuite.
- Monitor open orders and proactively communicate any delays or changes to customers.
- Assist customers with product information and coordinate solutions for order-related issues.
- Prepare reports, maintain documentation, and perform general administrative duties as assigned.
- Support continuous improvement initiatives to enhance customer satisfaction and operational efficiency.
Required Qualifications
- Proven experience in a customer service, administrative, or office support role.
- Excellent computer skills with proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills with a professional and customer-focused approach.
- Strong attention to detail and accuracy in data entry and documentation.
- Ability to work collaboratively with cross-functional teams while providing exceptional customer service.
- Ability to handle confidential and sensitive information with discretion.
- Authorization to work in the United States.
Preferred Qualifications
- Associate's or Bachelor's degree in Business, Communications, or a related field.
- Two or more years of experience in customer service, order management, or account support within a manufacturing or distribution environment.
- Experience using NetSuite or another ERP system for order processing, customer account management, and inventory inquiries.
- Experience working with dealers, distributors, builders, contractors, or other B2B customers.
- Experience coordinating with warehouse, logistics, purchasing, or operations teams.
