We are seeking a detail-oriented and organized Payroll Specialist to join our team and help ensure accurate payroll processing, certified payroll compliance, and commission tracking.
Position Summary
The Payroll Specialist will be responsible for processing payroll, managing certified payroll reports, reviewing employee time records, coordinating with department managers, tracking commissions, and assisting with payroll-related inquiries. This role requires strong attention to detail, excellent communication skills, and the ability to work with confidential information.
Key Responsibilities
- Process weekly payroll accurately and on time.
- Prepare, review, and submit certified payroll reports for prevailing wage projects.
- Review employee timesheets for accuracy and work directly with managers and dispatchers to resolve discrepancies.
- Edit and maintain payroll records, time entries, and labor allocations.
- Process subcontractor payments and maintain supporting documentation.
- Collect and review project invoices related to payroll and labor costs.
- Prepare and analyze profit and loss reports for commission calculations.
- Calculate, itemize, and process commission payments for sales representatives.
- Assist sales representatives with commission-related questions and discrepancies.
- Respond to employee payroll inquiries, deductions, and wage concerns.
- Maintain payroll records in compliance with federal, state, and company requirements.
- Support accounting and management teams with payroll reporting and labor analysis.
- Assist with year-end payroll activities and audits as needed.
Qualifications
- Not required but preferred a minimum of 2 years of payroll, accounting, bookkeeping, or related experience.
- Not required but preferred experience with certified payroll reporting preferred.
- Knowledge of prevailing wage projects and construction industry payroll is a plus.
- Strong understanding of payroll laws, wage compliance, and payroll processing.
- Experience with payroll and accounting software.
- Proficiency in Microsoft Excel and financial reporting.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and professionalism.
Preferred Experience
- Construction, fire protection, or service-industry payroll experience.
- Experience tracking commissions and incentive compensation.
- Familiarity with subcontractor payment processing.
- Understanding of job costing and labor reporting.
