Mountain Sky, Inc. is seeking a skilled and motivated Maintenance Account Manager to join our team! The Maintenance Account Manager is primarily responsible for generating new maintenance business, increasing enhancement sales within existing accounts, preparing and presenting proposals, managing contract renewals, and developing long-term client relationships. This position serves as a key representative of Mountain Sky, Inc. and works with commercial, HOA, property management, and high-end residential clients. The primary focus of the position is sales growth, new customer acquisition, account expansion, client retention, and profitable revenue generation.
DUTIES:
Sales & Business Development
- Actively seek new landscape maintenance opportunities in the commercial, HOA, property management, and high-end residential markets.
- Develop and maintain a consistent pipeline of prospective customers and bidding opportunities.
- Build professional relationships with property managers, HOA representatives, homeowners, business owners, contractors, and other potential clients.
- Conduct site evaluations for prospective customers and identify appropriate service needs.
- Prepare accurate, competitive, and profitable maintenance estimates.
- Develop and present professional proposals that clearly communicate the value of Mountain Sky, Inc.’s services.
- Negotiate scope, pricing, service levels, and contract terms when appropriate.
- Work toward established company and individual sales goals.
- Maintain organized records of leads, estimates, proposals, follow-ups, and sales activity.
Enhancement Sales & Account Growth
- Regularly evaluate existing client properties for opportunities to improve appearance, functionality, safety, water efficiency, and property value.
- Proactively recommend improvements rather than waiting for clients to request them.
- Identify and sell additional services including, but not limited to plant and tree replacements, landscape renovations, seasonal color, mulch and decorative rock, irrigation repairs and upgrades, water-conservation improvements, drainage improvements, turf renovation, aeration and dethatching, fertilization, pruning, and landscape lighting.
- Prepare estimates and proposals for enhancement work.
- Explain the benefits and value of recommended improvements to clients.
- Follow up on enhancement proposals and track results.
- Coordinate sold work with operations to ensure the scope and client expectations are clearly understood.
Client Relationship Management
- Serve as a primary point of contact for assigned clients.
- Establish and maintain strong relationships through phone, email, meetings, and property walk-throughs.
- Respond promptly and professionally to questions and concerns.
- Conduct regular property evaluations to identify service needs and future sales opportunities.
- Work to improve customer satisfaction, account retention, referrals, and overall account value.
- Maintain professional communication between the client and Mountain Sky, Inc.
Contract Renewals & Retention
- Manage the annual renewal process for assigned maintenance accounts.
- Review pricing, scope, service needs, and account profitability prior to renewal.
- Begin renewal discussions early enough to address concerns before contract expiration.
- Recommend appropriate pricing and/or service adjustments when necessary.
- Negotiate renewal terms while protecting company profitability.
- Identify accounts at risk of cancellation and work proactively to retain them.
- Look for opportunities to expand services during the renewal process.
Estimating & Financial Responsibility
- Conduct detailed site evaluations for maintenance contracts and enhancement projects.
- Determine labor, materials, equipment, subcontractor needs, and other project costs.
- Create accurate quotes using company estimating software.
- Ensure estimates meet company pricing and profitability expectations.
- Maintain schedules for appointments, bid deadlines, follow-ups, and renewals.
- Monitor the profitability of assigned accounts and identify opportunities for improvement.
Operations Coordination
- Work closely with the Maintenance Division Manager, Operations Managers, Foremen, and administrative staff to ensure sold work can be successfully executed.
- Clearly communicate scope, client expectations, pricing assumptions, and special requirements before work begins.
- Assist with pre-job meetings when needed for new accounts or larger enhancement projects.
- Communicate significant client concerns or scope changes to the appropriate manager.
- Remain involved in the client relationship while allowing operations staff to manage daily production and crew scheduling.
Snow Operations
- Assist with seasonal transitions between landscape and snow operations.
- Help with snow-service sales, renewals, property mapping, and client communication.
- Identify additional snow-service opportunities with existing and prospective clients.
- Be willing to perform snow-related duties, including nights and overtime, when required.
Uphold Company & Industry Standards
- Adhere to and embody company core values at all times.
- Maintain a clean and professional appearance, including but not limited to the use of company-issued uniforms.
- Punctual and dependable; reports for duty at the designated location on time each day.
- Utilize all required personal protective equipment.
- Follow directions from supervisor, demonstrate clear and direct communication skills.

- Strong understanding of construction estimating processes, contract management, and cost control strategies.

REQUIREMENTS:
- High school diploma or equivalent.
- 3+ years of experience in the landscaping industry.
- 3+ years of experience in sales, estimating, account management, and/or client relationships.
- Willing to participate in a drug-free work environment.
- Valid Oregon driver license with a clean driving record.
- Ability to establish and maintain professional customer relationships.
- Ability to confidently present proposals, discuss pricing, and close sales.
- Strong follow-up, organizational, and time-management skills.
- Excellent written and verbal communication skills.
- Working knowledge of common landscape plants, turf issues, pests, irrigation, and maintenance practices.
- Ability to read and interpret landscape plans, blueprints, specifications, and scopes of work.
- General knowledge of computers and Microsoft Office Suite.
- Willing to learn company estimating software.
- Ability to walk properties and work outdoors in varying weather conditions.
- Capable of lifting 50+ pounds on a regular basis.
- Ability to work nights or weekends when required.
- Carry and use a smartphone or data-enabled device for communication and reporting.
- Embrace new technologies that improve sales effectiveness, customer service, and company efficiency.
- Knowledge of Central Oregon landscape conditions. (preferred)
- Working knowledge of irrigation systems and low-voltage landscape lighting. (preferred)
