Position Overview
We are seeking a detail-oriented and proactive Project Coordinator to support our project management team in overseeing construction equipment projects. The ideal candidate will assist in planning, coordinating, and monitoring project activities, ensuring equipment is delivered, tracked efficiently, and removed on schedule. This role involves frequent collaboration with clients, vendors, field teams, and internal departments.
Key Responsibilities
- Assist teams in coordinating construction equipment logistics, including delivery schedules, installation, and site mobilization to ensure a project can run smoothly from day one.
- Monitor project timelines, budgets, and customer requests to ensure smooth execution.
- Maintain accurate project documentation, including equipment orders, contracts, and reports.
- Communicate with vendors and suppliers to track order statuses, resolve issues, and ensure timely deliveries.
- Support compliance with safety regulations, company procedures, and industry standards.
- Organize and attend project meetings, prepare meeting notes, and follow up on action items.
- Provide administrative support including purchase orders, invoicing, and change orders.
- Coordinate with internal departments such as procurement and finance.
- Identify project risks or delays and escalate issues to the manager as needed.
Qualifications
- Experience in project coordination, preferably within construction, equipment rental, or project management environments.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Project); experience with project management software a plus (e.g., Procore, Smartsheet, Salesforce).
- Excellent written and verbal communication skills.
- Ability to work collaboratively in a fast-paced, deadline-driven environment.
- Knowledge of construction equipment, logistics, or field operations is a plus.
