Front Office Coordinator & Physical Therapy Aide
Overview
Akshar Physical Therapy and Rehabilitation PLLC is looking for a compassionate, dependable, and multilingual professional to join our growing team as a Front Office Coordinator & Physical Therapy Aide. This dual-role position combines front-office administration with direct patient support in a clinical setting.
The ideal candidate will serve as the first point of contact for patients while also assisting physical therapists during treatment sessions. We are seeking someone with hands-on patient care experience, preferably in a physical therapy environment, who is organized, detail-oriented, and committed to delivering exceptional patient care.
Required Experience
- Physical Therapy Aide or related healthcare experience: 2 years (Required)
Fluency in English, Hindi, and Gujarati is required. Spanish proficiency is a plus.
Key Responsibilities Administrative & Front Office Duties
- Welcome and check in patients in a professional and friendly manner
- Maintain a clean, organized, and welcoming reception area
- Schedule, confirm, and manage patient appointments
- Create and maintain patient charts and electronic medical records (EMRs)
- Verify primary and secondary insurance coverage and update patient information
- Collect co-pays, deductibles, and insurance payments
- Answer incoming phone calls and respond to emails promptly
- Perform data entry, filing, and general administrative tasks
- Follow up with patients to support scheduling efficiency and therapist productivity
- Ensure all intake forms and required documentation are completed accurately
- Coordinate with therapists to maintain smooth patient flow throughout the day
Clinical Support & Physical Therapy Aide Duties
- Assist physical therapists with patient exercises and mobility support
- Prepare, clean, and sanitize treatment areas and equipment
- Monitor and organize therapy supplies and products
- Provide basic patient assistance during therapy sessions
- Support the use of clinical software systems and documentation processes
Preferred Qualifications
- Minimum 2 years of experience as a Physical Therapy Aide or in a healthcare/rehabilitation setting
- Experience working in a clinical front desk or outpatient rehab environment preferred
- Basic understanding of health insurance processes and medical office operations
- Proficiency in EMR systems, Microsoft Office, and general computer applications
- Familiarity with HIPAA regulations and patient confidentiality standards
- Ability to assist with light clinical documentation and therapy notes
- Strong multitasking, organizational, and communication skills
- Ability to work independently and remain composed in a fast-paced environment
- Capable of lifting 40–50 lbs and assisting patients with mobility needs
- Comfortable assisting patients with transfers to and from wheelchairs when necessary
- Excellent interpersonal skills, especially when working with elderly or rehabilitating patients
- Ability to interpret or translate between English, Hindi, and Gujarati (required)
- Willingness to support additional office or patient-care responsibilities as needed
