Position Summary
The Inventory & Logistics Coordinator is responsible for reviewing customer knife change requests, preparing and updating customer knife sets, organizing daily route information, maintaining knife inventory, and supporting accurate communication between production, delivery, drivers, route coordinators, supervisors, and management. This role requires strong attention to detail, safe handling of knives, accurate recordkeeping, and the ability to prioritize requests before routes are packaged for delivery.
Key Responsibilities
· Review daily customer email requests and delivery portal reports for knife changes, customer inventory updates, new customer setups, quality complaints, personal knives, merchandise mentions, pricing notes, and scheduling notes.
· Record returning route IDs and identify any routes that were not present the previous day.
· Export, organize, print, and email customer request reports to the appropriate recipients.
· Remove unnecessary report columns and organize the report so production can clearly identify actionable knife requests.
· Color-code requests according to internal guidelines, including quality complaints, merchandise requests, pricing or scheduling notes, blank requests, canceled customers, and non-actionable responses.
· Communicate with managers, supervisors, drivers, and route coordinators when requests are unclear, missing information, or require additional inventory details.
Customer Knife Set Duties
· Create, update, and maintain customer knife boxes based on customer inventories and email requests.
· Locate customer boxes by route ID, customer ID, customer name, depot, or delivery information.
· Read customer requests carefully and complete only the requested knife changes unless additional direction is provided.
· Replace knives with new knives when requests indicate add, replace, swap, change, exchange, or similar language.
· Add used knives when requests specify missing, lost, or put back.
· Prepare new customer knife sets by collecting the correct knife quantities, writing customer information on the box, and placing boxes on the correct route or production shelf.
· Mark boxes clearly with customer name, route ID, depot location, number of boxes, and inventory information inside the top lid.
· Handle kosher customer knife sets according to kosher-area procedures, including matching-colored handles and proper kosher tape wrapping.
Inventory and Stock Room Responsibilities
· Manage knife inventory in the stock room and ensure knife shelves remain organized and stocked.
· Stock pallets of knives onto shelves and maintain organization by knife type and handle color.
· Scan knife boxes in and out of the inventory system using barcode procedures.
· Record scanned inventory activity in the appropriate tracking file, including name, date, knife type, quantity, purpose, and scan status.
· Track knife usage by purpose and help ensure the operation has enough inventory available for customer requests and new customer setups.
· Reuse good knives when appropriate and discard knives that are unsafe, damaged, worn, rusty, cracked, or otherwise unusable.
Quality, Safety, and Compliance
· Identify quality complaints such as dull knives, unsharpened knives, chipped blades, uncleaned knives, and inconsistent edges.
· Notify management and supervisors regarding personal knives and include the related customer request details.
· Inspect knives for safety and usability, including blade wear, chipped or bent teeth, cracks, rust, damaged handles, excessive wear, loose pizza wheels, and unsafe blade condition.
· Replace damaged boxes, especially boxes with loose ends, holes, or unsafe conditions.
· Follow safe knife-handling practices at all times to prevent injury and protect customer property.
· Ensure invoices, money bags, customer boxes, and route materials are organized before routes are packaged for delivery by the end of the workday.
Required Skills and Qualifications
· Strong attention to detail and ability to follow written procedures accurately.
· Ability to read and interpret customer requests, route information, customer IDs, inventory lists, and delivery details.
· Basic computer skills, including use of email, Excel, delivery portals, and inventory scanning applications.
· Good communication skills for working with drivers, route coordinators, supervisors, managers, and production staff.
· Ability to organize multiple requests, prioritize daily tasks, and complete work before delivery deadlines.
· Ability to safely handle knives and identify damaged or unsafe items.
· Dependable, organized, and able to work independently with minimal supervision.
Preferred Experience
· Previous warehouse, production, inventory, route support, food service supply, or cutlery exchange experience preferred.
· Experience using Excel, inventory systems, scanners, or delivery management portals preferred.
· Experience working in a fast-paced operational environment with daily deadlines preferred.
Work Environment and Physical Requirements
· Work is performed in a warehouse and production environment.
· Role requires standing, walking, organizing boxes, handling knives safely, and moving inventory as needed.
· Must be able to work around sharp tools and follow all safety procedures.
· Must be able to complete time-sensitive tasks before routes are packaged and loaded for delivery.
Success Measures
· Customer knife change requests are completed accurately and on time.
· Reports are organized, printed, and emailed correctly each day.
· Knife inventory is tracked accurately and shelves remain organized.
· Customer boxes are labeled correctly and placed on the proper route or production shelf.
· Quality complaints and personal knife requests are communicated promptly to the proper team members.
· Safety procedures are followed and damaged knives or boxes are handled appropriately.
