<Job Summary>
The Project Management Back Office Coordinator provides administrative and operational support to the project management team, ensuring projects are organized, documented, and executed efficiently. Key responsibilities include administrative support for project managers, coordinating documentation, tracking schedules and deliverables, maintaining project records and reports, supporting construction, sales and investment tracking, coordinating meetings and minutes, and assisting with entitlements and permitting processes.
<Duties>
- Coordinate multiple construction and real estate development projects simultaneously.
- Track project schedules, milestones, and deadlines to ensure timely completion.
- Maintain project documentation, contracts, permits, and compliance records.
- Communicate with contractors, engineers, architects, vendors, city officials, and clients to ensure project progress.
- Prepare weekly project status reports and update management on project performance.
- Monitor budgets, invoices, purchase orders, and project-related expenses.
- Assist with permitting, inspections, and coordination with local municipalities.
- Organize meetings, prepare agendas, and document meeting minutes and action items.
- Follow up with internal teams and external stakeholders to ensure assigned tasks are completed on time.
- Support due diligence activities for new development projects.
- Maintain organized digital filing systems and project records.
- Identify potential project risks and communicate issues proactively.
- Assist with administrative and operational tasks that support company objectives.
- Perform other duties as assigned.
<Requirements>
- Minimum of 2 years of experience in project management, construction administration, real estate development, or a related field.
- Bilingual (English & Spanish) required with excellent verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent time management and attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience with project management software such as Microsoft Project, Smartsheet, Gamma, Any AI is preferred.
- Knowledge of construction documents, permitting processes, contracts, and project coordination.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Strong problem-solving and decision-making skills.
- Professional attitude with excellent customer service and communication abilities.
- Ability to maintain confidentiality and handle sensitive information.
- High school diploma required; Bachelor's degree in Construction Management, Business Administration, Engineering, or a related field is preferred.
Pay: $20.00 - $22.00 per hour
