Overview
We are seeking a highly organized and detail-oriented Administrative and Financial Support Specialist to assist with essential daily operations. This role is crucial in maintaining the company's financial and administrative efficiency, reporting directly to the Operations Manager.
Employment Details
- Schedule: Part-time, Monday through Friday.
- Location: In-office position, located on the border of San Jose and Santa Clara, CA.
- Pay Range: $25 – $35 per hour, depending on experience.
Key Responsibilities
Financial & Accounting Support
- Perform basic accounting tasks, ensuring accurate record-keeping and data entry.
- Manage the billing process, including the creation and distribution of invoices.
- Track and process all incoming and outgoing invoicing promptly.
- Track, organize, and maintain receipts and expense records.
- Assist with bookkeeping.
Administrative & Operational Support
- Maintain and manage executive and team calendars.
- Coordinate and schedule appointments and meetings, including preparing necessary documentation.
- Implement and maintain a system for tracking employee training, certification, and other official employee files.
- Assist with employee onboarding process.
- Manage general office organization and administrative duties as needed.
Qualifications
Required Skills & Experience
- Proven experience in an administrative or support role.
- Exceptional organizational skills and attention to detail.
- Proficiency with office software (e.g., Google Workspace, Microsoft Office).
- Strong verbal and written communication skills.
Preferred (But Not Required) Qualifications
- Experience with QuickBooks or similar accounting software.
- Advanced proficiency in Microsoft Excel for data tracking and reporting.

Pay: $25.00 - $35.00 per hour
