Position Summary
VMI Security is seeking a highly organized, energetic, and self-motivated Operations & Office Coordinator to oversee the daily administrative and operational functions of our growing U.S. headquarters in Conroe, Texas. This is a hands-on role for someone who thrives in a fast-paced, entrepreneurial environment and enjoys wearing multiple hats.
The Operations & Office Coordinator will be responsible for ensuring the office, warehouse, and administrative functions operate efficiently while supporting logistics, customer service, HR administration, purchasing, scheduling, and day-to-day business operations. This individual will play a critical role in helping VMI continue its rapid growth by keeping people, processes, and resources organized and running smoothly.
Key Responsibilities
- Coordinate and optimize the daily operations of the Conroe office and warehouse.
- Manage inbound and outbound shipments, deliveries, and logistics coordination.
- Maintain an organized, professional, and efficient office environment.
- Coordinate office supplies, equipment, vendors, and facility maintenance.
- Schedule meetings, travel, training, and company events.
- Assist with purchasing, inventory tracking, and vendor communications.
- Support customer order processing and internal operational workflows.
- Assist with onboarding new employees and provide administrative HR support, including personnel files, benefits coordination, and training documentation.
- Maintain company records, policies, and operational documentation.
- Coordinate shipping documentation and support production scheduling as needed.
- Support executives with administrative and operational projects.
- Identify opportunities to improve workflows, increase efficiency, and eliminate bottlenecks.
- Work collaboratively with Sales, Service, Production, and Finance to ensure smooth daily operations.
- Perform other duties as assigned to support the needs of a growing business.
Qualifications
- Minimum 5 years of experience in an office operations, office management, business administration, or operations coordination role.
- Experience working in a fast-paced, high-growth, multifaceted business where priorities change frequently.
- Demonstrated ability to manage multiple projects simultaneously while maintaining exceptional attention to detail.
- Strong organizational, planning, and time management skills.
- Proven ability to prioritize tasks and solve problems independently.
- Excellent verbal and written communication skills.
- Strong computer proficiency, including Microsoft Office (Word, Excel, Outlook, PowerPoint). Experience with ERP or CRM systems is a plus.
- Professional, positive attitude with a customer-service mindset.
- Ability to work independently while supporting a collaborative team environment.
Physical Requirements
- Ability to occasionally lift and move boxes or equipment weighing up to 50 pounds.
- Comfortable working in both an office and warehouse environment.
- Willingness to assist with organizing inventory, maintaining warehouse cleanliness, receiving shipments, and other hands-on operational tasks as needed.
- Ability to stand, walk, bend, and perform light physical work throughout the day.
Preferred Qualifications
- Experience supporting manufacturing, logistics, security technology, or industrial equipment businesses.
- Experience with purchasing, shipping, inventory management, or supply chain coordination.
- Basic HR or payroll administration experience.
- Experience implementing process improvements or office systems.
