Events Department Team Member

Primary Function:
The Events Department Team Member, reporting to the Special Events Coordinator, supports the planning, setup, execution, and breakdown of public events, educational programs, festivals, exhibits, and other special activities at Flamingo Gardens. This position helps ensure that event spaces, equipment, vendors, volunteers, and guest-facing operations are organized, safe, and event-ready. The role requires a dependable, energetic, and customer-focused individual who can work effectively in a fast-paced, primarily outdoor environment and maintain a flexible schedule based on the Events calendar.
Key Roles (Essential Responsibilities):
· Set up and break down indoor and outdoor event spaces, including tents, tables, chairs, signage, decor, fencing, and other event equipment. This includes loading, transporting, and organizing supplies and materials.
· Prepare event venues according to approved layouts, timelines, safety requirements, and guest-service standards, ensuring that the spaces are clean, safe, accessible, and guest-ready before each event.
· Support event operations during public events, educational programs, festivals, exhibits, and special activities.
· Respond to event-day needs and help resolve operational issues in a professional and timely manner.
· Maintain an accurate inventory of event equipment, decorations, signage, furniture, and other event-related assets, inspecting regularly to make sure items are clean, safe, and in good working order.
· Communicate professionally with vendors, contractors, clients, and event partners before and during events, coordinating arrivals, setup locations, and operational needs in collaboration with the Events team.
· Assist with training, assigning, and supervising volunteers during events and exhibits, providing clear instructions and reinforcing safety procedures.
· Support event promotion and outreach by distributing marketing materials throughout Flamingo Gardens and at approved outside venues.
· Provide exceptional customer service to guests, clients, vendors, volunteers, and staff. This includes collaboration with other departments to meet event requirements and create a positive guest experience.
· Perform other duties, event-related projects, and activities as assigned by the Special Events Coordinator.
Relationships:
· Internal: Work closely with the Special Events Coordinator, Events Department staff, volunteers, and other Flamingo Gardens departments to coordinate event logistics, resolve issues, and support successful event outcomes.
· External: Maintain professional contact with guests, clients, vendors, contractors, community partners, and outreach venues as required for event execution and promotion.
Professional Skills and Qualifications:
· High school diploma or equivalent required; related experience in events, hospitality, recreation, customer service, or a similar field is preferred.
· Strong organizational, communication, interpersonal, and problem-solving skills. Professional communication with vendors, clients, volunteers, guests, and coworkers.
· Ability to manage multiple priorities and adapt quickly to changing needs in a fast-paced environment.
· Ability to work independently with minimal supervision and collaboratively as part of a team.
· Experience supervising or coordinating volunteers is preferred.
· Reliable, dependable, punctual, and able to maintain a positive, service-oriented attitude.
· Bilingual skills are a plus.
· Must be available to work evenings, nights, weekends, and holidays as required by the event schedule. * A minimum of 15 evening shifts is required between November 20th and December 30th; daytime schedules may be adjusted to accommodate these evening shifts.
Knowledge and Abilities:
· Knowledge of basic event setup, breakdown, equipment handling, inventory control, and venue-readiness practices.
· Ability to follow event layouts, schedules, procedures, and safety guidelines.
· Ability to provide clear direction to volunteers and promote a positive team environment.
· Ability to remain professional, adaptable, and safety-conscious while working around large crowds, vendors, volunteers, event equipment, and wildlife.
· Ability to work effectively outdoors in changing weather conditions and remain flexible as event needs evolve.
Physical Requirements:
· Ability to work outdoors for extended periods in varying weather conditions, including heat, humidity, rain, and cold.
· Ability to stand and walk for prolonged periods throughout the workday.
· Ability to frequently bend, kneel, squat, climb ladders, push, pull, and reach.
· Ability to safely lift, carry, and move up to 50 lbs., and to frequently set up and break down event equipment.
· Must possess a valid Florida driver’s license and maintain a satisfactory driving record.
