Client Service Representative Manager- Veterinary

You'll manage scheduling, handle client communications, coordinate between pet parents and our clinical team, and keep the front of house running smoothly. Responsibilities
- Greet clients warmly and create a welcoming, calm environment for pets and their owners
- Answer phones, respond to messages, and manage appointment scheduling across multiple providers and locations
- Handle check-in and check-out workflows, including collecting payments and processing invoices accurately
- Communicate wait times, appointment prep instructions, and follow-up care information to clients clearly and empathetically
- Coordinate with veterinarians and technicians to relay client questions, concerns, and updates
- Maintain accurate client records, update contact information, and manage patient files in the practice management system
- Assist with new client onboarding - collecting intake forms, explaining clinic policies, and setting expectations
- Manage prescription refill requests, food/product orders, and referral coordination
- Support the team with light administrative tasks: filing, scanning, inventory ordering, and mail
Qualifications
- Experience in a client-facing role — veterinary reception preferred, but strong customer service backgrounds (hospitality, medical front desk, retail management) welcome
- Comfortable with multi-line phones, scheduling software, and managing a busy front desk
- Strong written and verbal communication skills — you can explain things clearly and kindly
- Ability to stay calm and organized when things get hectic
- Basic familiarity with veterinary terminology is a plus, but we'll train the right person
- Genuine care for animals and the people who love them
- Reliable, punctual, and able to work a consistent schedule

Pay: $25.00 - $30.00 per hour
