Grace Therapy and Wellness Center (GTWC) is a behavioral health and wellness practice with physical offices in Oak Park, Northcenter Chicago, and Downtown Chicago. We also provide telehealth services to individuals residing in Illinois, Wisconsin, and Florida. Our team specializes in behavioral health therapy, psychological evaluations, and BMHNP prescribing services.
We are seeking a full‑time Billing Coordinator who embodies GTWC’s values of social justice, inclusivity, accountability, and client‑centered care. A bilingual English/Spanish speaker is strongly preferred.

Position Responsibilities
The Billing Coordinator will support GTWC’s billing operations by:
- Creating, reviewing, and submitting claims for private insurance (BCBS, Aetna, Cigna/Evernorth, UHC/Optum, Humana, TriCare) and Medicaid (BCBS Community, CountyCare, Molina, Meridian) clients, and generating invoices for self‑pay clients.
- Managing credit card denials and communicating with clients to obtain updated payment information.
- Monitoring the billing email and voicemail inboxes and promptly addressing client billing concerns.
- Tracking prior authorization statuses and submitting new authorization requests as needed.
- Processing and investigating the billing aging report.
- Reconciling monthly bank statements.
- Investigating denied claims and collaborating with insurance companies to resolve issues.
- Reviewing client invoices, coordinating with therapists regarding payment or service pauses, and communicating outstanding issues to the supervisor.
- Managing aging cases and following up with clients directly via phone and email.
- Entering paper Explanation of Benefits (EOBs) and denials into the EHR system.
- Maintaining and updating the clinician issues spreadsheet for supervisor review.
- Participating in weekly meetings with the supervisor to discuss workload, challenges, and opportunities for improvement.
- Maximizing company revenue by submitting clean claims, reducing refunds, following up on unpaid claims and invoices, and improving billing workflows.
Qualifications
- High School Diploma or GED required; higher education in Business or Healthcare Management preferred.
- Medical and/or mental health billing experience required.
- Customer service or executive assistant experience considered.

Required Skills
- Proven experience as a medical or mental health biller.
- Knowledge of office administration systems and procedures.
- Proficiency in MS Office, especially Excel.
- Familiarity with Slack, Gmail, Google Drive, Zoom, Jane App, and SimplePractice.
- Excellent time‑management skills with the ability to multitask and prioritize.
- Strong attention to detail and problem‑solving abilities.
- Exceptional written and verbal communication skills (grammar, punctuation, and spelling must be excellent).
- Ability to identify workflow improvements and suggest solutions.
- Independent thinker who attempts to resolve issues before escalating questions.
