Advanced Fluid Systems has been designing, building, and repairing hydraulic systems in York, PA since 1985. We serve industrial, mobile, and defense customers across distribution and manufacturing. We're a small company, which means the person in this seat isn't buried in a department — the work is visible and it matters.
The Role
We're looking for an Accounting Assistant to handle day-to-day data entry in our accounting system. Vendor invoices, customer invoices, payments, and account records all flow through this role.
The work is entering information accurately and consistently, following established procedures. You'll report to and work under the direction of our accounting lead, who handles the close, reporting, and any judgment calls. What we need from you is precision: enter it right the first time, notice when something doesn't look right, and bring it to someone rather than guessing.
Done well, this role keeps our books clean and our vendors and customers paid correctly and on time.
What You'll Do
- Enter and code vendor invoices, matching to purchase orders and receiving documents
- Generate and issue customer invoices as directed
- Apply customer payments and maintain accurate account records
- Verify pricing, quantities, part numbers, and terms against source documents
- Report discrepancies — price mismatches, quantity errors, missing paperwork — to the accounting lead
- Maintain vendor and customer records, including W-9s and tax exemption certificates
- File and organize accounting documentation so it can be found later
- Assist with month-end data cleanup and basic reconciliation support
- Pull lookups and reports for the accounting lead as needed
What You Need
- 2+ years in accounting support, AP/AR, data entry, or similar administrative work
- Demonstrated accuracy — this is the single most important qualification
- Comfort working in an ERP, accounting system, or other business software
- Working Excel skills (sorting, filtering, basic formulas)
- Ability to work through repetitive volume without losing precision late in the day
- Willingness to ask a question rather than assume
- Ability to follow established procedures consistently
- Reliable attendance
- High school diploma or equivalent
Nice to Have
- Coursework or a degree in accounting or business
- Experience in distribution, manufacturing, or a job shop
- Familiarity with purchase orders, part numbers, and BOMs
- Experience with sales tax exemption certificates
- Exposure to ERP systems (we run TrulinX)
