Position Overview
Tabor Hill Winery & Restaurant is seeking a polished, detail-oriented, and hospitality-driven Private Event Coordinator to support the execution of weddings, private dining events, corporate gatherings, celebrations, and curated winery experiences.
This part-time position plays a key role in ensuring each event is executed with precision, warmth, and professionalism while reflecting the elevated hospitality, culinary quality, wine knowledge, and attention to detail that define the Tabor Hill experience.
The Private Event Coordinator will work approximately 3–4 days per week, with a primary focus on on-site event execution and guest experience. This role is approximately 70% hands-on event operations within the restaurant, winery, and private event spaces, and 30% administrative support, including organizing event details, supporting communication, and assisting the Event Sales Team with preparation and internal coordination.

Key Responsibilities
Event Operations & Guest Experience — 70%
- Serve as the on-site lead during assigned private events, ensuring a seamless and elevated guest experience from arrival through completion.
- Coordinate event setup, execution, and breakdown in partnership with restaurant management, culinary, service, beverage, and event teams.
- Ensure event spaces are prepared according to confirmed event details, including floor plans, décor placement, timing, menus, service stations, and guest-facing presentation.
- Act as the primary point of contact for clients during events, providing warm, polished, and professional hospitality.
- Monitor event timelines and communicate updates or adjustments to appropriate team members in real time.
- Support service teams to ensure food, beverage, and wine service standards are consistently met.
- Maintain Tabor Hill’s standards for presentation, cleanliness, organization, atmosphere, and guest experience.
- Anticipate guest and client needs, resolving concerns quickly, calmly, and professionally.
- Assist with guest arrivals, transitions, meal service timing, speeches, special moments, vendor coordination, and event closeout.
- Partner with managers to ensure each event feels thoughtful, smooth, and reflective of a high-end hospitality environment.
Event Administration & Sales Support — 30%
- Assist the Event Sales Team with event-related communication, follow-up, and organization as needed.
- Collect, confirm, and organize event details including guest counts, timelines, menus, beverage selections, layouts, dietary restrictions, vendor needs, and special requests.
- Enter and maintain accurate event information within the event booking system.
- Ensure event documents are updated, accurate, and communicated clearly to operations teams.
- Assist with event preparation meetings, internal communication, and pre-event briefings.
- Help maintain organized records, event files, checklists, and internal event notes.
- Support the transition of confirmed event details from the sales and planning process into successful on-site execution.
Qualifications & Experience
- Previous experience in hospitality, restaurants, catering, winery operations, private events, banquets, or luxury guest service preferred.
- Strong organizational skills and excellent attention to detail.
- Comfortable interacting with guests, clients, vendors, and team members in a polished and professional manner.
- Ability to communicate clearly and professionally through email, phone, and in-person conversations.
- Strong problem-solving skills with the ability to remain calm, flexible, and solution-oriented during busy events.
- Ability to work independently while supporting a larger hospitality and operations team.
- Professional appearance and presence appropriate for an elevated winery and restaurant environment.
- Flexible availability, including evenings, weekends, holidays, and peak event seasons.
- Knowledge of wine, beverage service, fine dining, or elevated restaurant hospitality is a strong plus.

Schedule
