TraxNYC is one of the world's most recognized custom jewelry brands, designing high-end diamond and gold pieces for a global clientele out of the heart of NYC's Diamond District. We move fast, ship serious volume, and hold a high standard on every piece that leaves the building. This is a real operation — thousands of orders a month, tight deadlines, and no room for things to fall through the cracks.
The Role — What You'll Actually Own
This is not a bench or manual production role. You are the bridge between our sales team and our production floor — the person who knows where every order stands at any given moment and makes sure it keeps moving.
When a sale is made, you're the one who turns that promise into a finished piece on time. You'll chase down bottlenecks, keep production and sales in sync, and personally push stuck orders forward before they ever become a missed deadline. If you're the type who can't stand a disorganized pipeline and gets satisfaction from making a messy process run clean and fast — this is your role.
You'll report closely to production leadership and ownership, and you'll be trusted with real responsibility from week one.
What You'll Do
- Own order flow end to end. Track every piece — custom and standard alike — from the moment it's sold to the moment it ships, and always know its exact status.
- Be the liaison. Translate what sales has committed to into what production needs to execute, and keep both sides honest and aligned on realistic timelines.
- Kill bottlenecks. Identify stuck, delayed, or at-risk orders and drive them forward. Escalate risks before they turn into blown deadlines, not after.
- Run the source of truth. Keep order status accurate and up to date across Monday.com, Shopify, and Google Sheets so nobody has to guess where anything is.
- Coordinate movement across the Diamond District. Manage pickups, drop-offs, and hand-offs between setters, casters, and vendors so pieces move on schedule.
- Manage custom intake & approvals. Organize custom design submissions, confirm specs, and make sure production has what it needs to start clean.
- Support QC checkpoints. Help hold the line on quality and organization at each stage of the process.
- Support product development & content. Pitch in with ownership on new collections, product concepts, and video/photo shoots as needed.
- Work smart with AI tools. Use AI tools (ChatGPT, Claude, and similar) to speed up tracking, communication, drafting, and day-to-day problem-solving wherever they make you faster and more accurate.
Who You Are
Must have:
- 2+ years in operations, logistics, expediting, order/project coordination, or production management (jewelry, luxury retail, or manufacturing is a strong plus)
- Relentlessly organized — you can hold dozens of moving orders in a system without dropping a single one
- Calm and sharp under deadline pressure; you thrive when things are moving fast
- Fluent with spreadsheets and order/project-management tools (Monday.com, Shopify, Google Sheets, or similar)
- Comfortable using AI tools to work more efficiently, and eager to find new ways to put them to work
- A strong, direct communicator who can keep both a salesperson and a jeweler accountable
- Reliable, punctual, and comfortable being on your feet and moving around the Diamond District daily
Nice to have:
- Jewelry, diamond, or precious-metals knowledge
- A creative eye for design and product
- Bilingual (a real advantage in the Diamond District)

- You need someone else to tell you what's urgent — you can't spot and chase priorities on your own
- Loose ends, missed follow-ups, or "I forgot to check" are part of how you work
- You get flustered when several deadlines land at once
Compensation & Schedule
- $19–$25 / hour, depending on experience (revise to your final range)
- Monday–Friday, 11:00 AM – 7:00 PM
