Client Service Associate
Location: Orinda, CA (In-office)
Compensation: $65,000 – $100,000 DOE + Bonus Opportunities

We are seeking a polished, proactive Client Service Associate who will play an instrumental role in elevating our client experience and supporting the operational heartbeat of the practice.
Position Summary
As a Client Service Associate, you will ensure the smooth, efficient, and compliant operation of our advisory practice. You’ll work closely with our advisors to support day-to-day business functions, manage client interactions, prepare documentation, and maintain key systems.
This role requires exceptional attention to detail, clear communication, professionalism, and a sincere commitment to client service. You’ll be the face of the practice for many clients—helping to strengthen relationships and deliver the exceptional experience that defines Pollak & Pollak.
Responsibilities will evolve as the practice grows, offering opportunities for increased responsibility and professional development.
What You’ll Do
Business Operations (50%)
- Partner with Ameriprise home office to ensure accurate account setup and resolve issues promptly.
- Provide clients with timely, accurate information related to account maintenance and service needs (within allowable guidelines).
- Maintain client files and records in accordance with regulatory and firm retention policies.
- Support advisors with administrative tasks and practice management initiatives.
- Offer insights on optimizing key platforms (MOD, Go Social, Advisor website, etc.) to drive practice efficiency.
Client Care & Relationship Support (50%)
- Maintain our client relationship management (CRM) system with accuracy and consistency.
- Initiate scheduling calls to clients and prospects; manage calendars efficiently.
- Draft client correspondence and handle client appreciation communications.
- Prepare for and participate in client meetings as needed.
- Execute client transaction requests under advisor direction.
- Coordinate client events, appreciation activities, and educational seminars.
- Serve as the first point of contact for inbound inquiries and new-client interest.

Qualifications
- Bachelor’s degree or equivalent professional experience
- 3+ years of office or administrative experience (financial services preferred)
- Ability to obtain securities licensing (Series 7, Series 66) and state insurance
licenses—preferred if already completed
- Proficiency with CRM systems and Microsoft Office
Compensation & Benefits
Salary: $65,000 – $100,000 DOE

Schedule:
- Full-time, Monday–Friday
- Standard 8-hour workday
- No nights or weekends
Work Location: In-person at our Orinda, CA office (relocation required prior to start)
