Job Summary:
We are seeking a results-driven Medical Spa Operations Manager who will be responsible for the overall success of the clinic, including revenue growth, membership retention, patient experience, team leadership, operational excellence, and profitability. This individual will serve as the day-to-day leader of the practice and will work closely with ownership to achieve strategic growth goals. You will act as the business owner of the clinic, bridging the gap between clinical excellence and commercial efficiency to successfully drive a high-volume aesthetics practice.
Key Responsibilities:
1. Revenue Growth & Sales Optimization
- Assume full responsibility for achieving monthly and quarterly clinic revenue goals.
- Monitor provider productivity, provider utilization percentages, and treatment conversion rates.
- Drive medical spa membership growth and execution of membership retention strategies.
- Track and improve consultation-to-treatment conversion percentages.
- Increase retail product sales, package sales, and oversee lead management and prompt follow-up.
2. Daily Business Operations & Clinical Oversight
- Oversee and streamline daily med-spa workflows, optimizing injector and esthetician room scheduling, minimizing wait times, and maximizing provider utilization.
- Manage front-desk staff, patient coordinators, estheticians, and injectors to ensure a seamless workflow.
- Establish, update, and enforce Standard Operating Procedures (SOPs) for both front-of-house and clinical administrative workflows.
- Supervise daily sales reporting, cash reconciliation, payroll processing, and expense tracking.
- Manage inventory control of high-value supplies, specifically neurotoxins, fillers, and medical aesthetics products; negotiate with vendors for maximum cost efficiency.
- Ensure strict clinic compliance with local healthcare regulations, OSHA, HIPAA, sanitation protocols, and medical board safety standards.
3. Local Marketing & Social Media Oversight
- Develop and execute local marketing initiatives, VIP nights, and promotional events in collaboration with ownership.
- Coordinate directly with the Social Media Manager to ensure daily social media content opportunities within the clinic are captured and leveraged.
4. Team Leadership & Staff Management
- Oversee recruitment, screening, onboarding, training, and performance reviews of all clinic personnel.
- Design and manage staff schedules, balancing peak-hour client volume against labor cost percentages.
- Manage commission and bonus structures while resolving staff grievances or performance issues promptly.
5. Premium Client Experience & Quality Assurance
- Maintain a pristine, luxury, and welcoming medical spa environment matching Pure Envy's standards.
- Act as the primary escalation point for client concerns, resolving issues gracefully to maximize client retention and rebooking rates.
- Monitor internal feedback and proactively manage online reviews (Google, Yelp) to drive review growth.

Qualifications & Requirements:
- Experience (Non-Negotiable): Minimum of 2 years of solid management experience specifically within Aesthetics, Dermatology, Plastic Surgery, Cosmetic Dentistry, or Luxury Wellness settings. (Hospitality-only background will not be considered due to the technical demands of injectables scheduling, provider utilization, and medical compliance).
- Software Proficiency: Strong hands-on experience using Med-Spa EMR/Scheduling software or CRM/billing tools. Proficiency in profitability tracking using basic Excel/Google Sheets is required.
- Business & Financial Acumen: Deep understanding of profit and loss (P&L) concepts, inventory control of medical supplies, and high-end retail/membership sales techniques.
- Leadership Skills: Proven track record of successfully managing a team of clinical injector, esthetician, and front-desk staff, including conflict resolution and performance monitoring.
- Communication: Exceptional verbal and written communication skills with a highly polished, professional, and elite demeanor.
