We are seeking a highly organized and proactive Operations Manager to oversee our day-to-day administrative operations. The ideal candidate will be responsible for managing office administration, coordinating with different departments, improving operational efficiency, maintaining documentation, and ensuring smooth business operations. This role requires excellent organizational, communication, and leadership skills.
Key Responsibilities
- Manage daily administrative operations and ensure smooth office workflow.
- Develop and implement efficient administrative systems and processes.
- Supervise administrative staff and assign daily tasks.
- Prepare, maintain, and organize company records, documents, and reports.
- Coordinate meetings, schedules, appointments, and company events.
- Monitor office supplies, equipment, and vendor relationships.
- Handle employee documentation, onboarding, and administrative support.
- Ensure compliance with company policies and operational procedures.
- Track project progress and follow up with team members to ensure deadlines are met.
- Coordinate with accounting regarding invoices, purchase orders, and expense records.
- Maintain filing systems and ensure data accuracy and confidentiality.
- Prepare operational reports and present updates to management.
- Resolve administrative issues and recommend process improvements.
- Support management with business planning, operational strategies, and special projects.
- Communicate effectively with clients, vendors, and internal teams.
- Assist in creating and maintaining Standard Operating Procedures (SOPs).
- Monitor company performance metrics and identify opportunities to improve efficiency.
- Handle multiple priorities while maintaining attention to detail.
Required Qualifications
- Bachelor's degree in Business Administration, Management, or a related field (preferred).
- 3+ years of experience in operations management or office administration.
- Strong leadership and team management skills.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace.
- Experience with project management or CRM software is an advantage.
- Ability to work independently and solve problems effectively.
