Responsibilities
- Greet visitors warmly and direct them appropriately, maintaining a professional and friendly front desk presence
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
- Maintain organized filing systems, perform data entry, and update records using Microsoft Office, Google Workspace, and other office software
- Assist with appointment scheduling, calendar management, and coordinating meetings for staff or clients
- Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks data entry to ensure accurate financial records
- Provide general administrative support including proofreading documents, managing office supplies, and supporting office management activities
Requirement Qualifications
- Bilingual: English and Spanish (written and verbal fluency required)
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent computer literacy and data entry skills with high accuracy and attention to detail
- Familiarity with front desk operations, phone etiquette, and multi-line phone systems
- Experience with bookkeeping software such as QuickBooks is highly desirable
- Strong time management skills to prioritize tasks efficiently in a busy environment
- Previous experience as a medical or dental receptionist or personal assistant is advantageous
- Ability to handle confidential information discreetly while providing outstanding customer support
