We are seeking a dependable, organized, and customer-focused LP Administrator to support the daily operations of our propane department. This position plays an important role in coordinating customers, drivers, service technicians, billing, deliveries, inventory, and administrative functions to ensure efficient and reliable propane service.
The ideal candidate is detail-oriented, comfortable working with customers and coworkers, and able to manage multiple priorities in a fast-paced environment.
Position Responsibilities
- Process daily propane driver fill tickets and reconcile driver reports for accuracy and billing.
- Answer incoming customer calls and assist with propane-related questions, deliveries, billing, account inquiries, and service requests.
- Create and maintain customer accounts, including new account setup, credit applications, tank lease agreements, account updates, and customer records.
- Process customer payments, invoices, accounts receivable, accounts payable, and collections.
- Bill annual propane tank lease fees for all leased tanks by the end of March each year.
- Coordinate annual mailing of Duty to Warn notices and Budget Billing enrollment forms to applicable propane customers, including leased-tank, customer-owned-tank, and renter accounts.
- Schedule propane deliveries, service calls, gas checks, tank installations, tank removals, and maintenance with drivers and service technicians.
- Coordinate and maintain the Keep Full Program to help ensure customers receive timely propane deliveries.
- Administer budget billing and prepay contract programs, including customer enrollment, pricing, billing, renewals, and customer communications.
- Prepare customer contracts, pricing agreements, correspondence, and other department documentation.
- Maintain accurate customer records and perform data entry within the company's operating software.
- Communicate with customers regarding delivery schedules, pricing, payment options, account status, and company policies.
- Work closely with drivers, service technicians, sales staff, and management to support efficient daily department operations.
- Maintain propane tank inventory by adding, removing, and updating tank records within the inventory management system.
- Process and maintain propane driver and service technician paperwork, including gas checks, pressure tests, work orders, tank installations, and tank pickups.
- Coordinate customer mailings related to past-due accounts, tank removals, and new property ownership.

- Reliable, responsible, and able to work independently while contributing to a team environment.
- Previous experience in customer service, office administration, accounting, dispatching, propane operations, or a related field is preferred.
Required Qualifications
- High school diploma or equivalent required.
Preferred Skills & Experience
- Computer knowledge and strong computer skills are a plus.
- Experience using customer management, accounting, billing, inventory, or other business software is preferred.
- Ability to learn and efficiently use company-specific operating software.
- Experience with data entry, Microsoft Office, email, spreadsheets, or similar office technology is beneficial.
Computer proficiency and experience with business software will be considered a bonus when evaluating candidates.
