Under the direction and supervision of the Nurse Manager and Registered Nurse, the secretary is responsible for assisting with the management of the clinic and performing secretarial and receptionist duties. The secretary is also responsible for patient registration, record processing, supply and equipment requisitioning, as appropriate, and management of incoming telephone calls.
PRINICIPAL ACCOUNTABILITIES: % of Time Spent
1. Receptionist/Secretarial Duties – include but not limited to: 85%
a. Greets patients, families and other visitors in a pleasant, friendly manner
b. Provides general directions to those customers who inquire within the building or to the local surrounding area
c. Organizes and maintains patient waiting room and brochure racks
d. Answers telephones within 3-4 rings
e. Identifies patients that need to be seen by the Physician or Nurse Practitioner immediately
f. Obtains authorizations from employers for each occupational health patient
g. Completes registration in multiple computer applications for both clinic and occupational health patients
h. Provides “bedside” registration as required
i. Completes disposition of patient charts
j. Copies chart for transfer/makes calls as needed
k. Prepares, maintains and dispositions clinic and occupational health medical records
l. Provides follow up correspondence for occupational health
m. Obtains and stocks patient brochure racks
n. Maintains daily log and statistics for patient type and each type of service received
o. Communicates daily census
p. Orders office supplies
q. Handles “lost and found’ items
r. Sorts and distributes incoming mail
s. Provides information to billing office as needed
t. Collects Quality Management data per Nurse Manager
u. Locates archived medical records for occupational health
v. Files, maintains and organizes medical records for specified time frame
w. Collects totals and reconciles co-pays for both clinic and occupational health patients
x. Maintains and reconciles petty cash drawer
y. Totals and submits deposits to hospital cashiers office daily
2. Assists the staff in general function of the Center which may include, but not limited to: 5%
a. Stocks/restocks to maintain adequate supplies throughout the clinic
b. Reports repairs or needs to maintenance
c. During Code Blue, makes appropriate calls, arranges for ambulance and takes notes of events
3. Responsible for all safety regulations and reporting of any safety issues 5%
4. Performs other duties as assigned 5%
