About the Role
We are looking for a highly organized, hands-on Special Projects & Product Operations Coordinator to support our product development, procurement, warehouse, tradeshow, and OEM project workflows.
This role is ideal for someone who can move between different types of projects, stay organized in a fast-moving environment, and help keep special initiatives moving without needing constant direction. You will support product operations, coordinate internal follow-ups, assist with warehouse and sample-related needs, and help manage one-off projects that do not always fit neatly into a standard procurement or product development workflow.
This is not a traditional desk-only role. The right person should be comfortable working across systems, spreadsheets, product samples, warehouse coordination, vendor/project updates, and internal team communication.
Key Responsibilities
- Support special projects across product development, procurement, warehouse, and operations.
- Assist with tradeshow preparation, product displays, sample organization, packing lists, and event-related coordination.
- Help manage internal follow-ups for active product and OEM projects.
- Coordinate with the warehouse on samples, inventory checks, product pulls, shipping needs, and project-related requests.
- Support OEM projects from an operational and follow-up perspective.
- Help keep project notes, tasks, and updates organized in the company PLM system.
- Follow up with internal team members to make sure open tasks are completed on time.
- Assist with sample tracking, product organization, and project readiness.
- Help identify blockers, missing information, or delayed tasks and escalate them to the appropriate team member.
- Support project managers and leadership with one-off operational needs.
- Maintain clear communication across product, procurement, warehouse, and vendor-facing teams.
- Help prepare products, samples, or documentation for meetings, launches, and vendor reviews.
Ideal Candidate
The ideal candidate is organized, reliable, flexible, and comfortable handling a wide range of tasks. You should be able to switch between office work, system updates, product/sample handling, and internal coordination.
You do not need to know everything on day one, but you do need to be proactive, detail-oriented, and willing to learn the company’s products, systems, and workflows.
Required Skills
- Strong organization and follow-up skills.
- Ability to manage multiple tasks and shifting priorities.
- Comfortable working with spreadsheets, project trackers, and internal systems.
- Strong attention to detail.
- Clear written and verbal communication.
- Ability to follow through without constant reminders.
- Comfortable coordinating with warehouse, product, procurement, and operations teams.
- Ability to work with product samples, packaging, and physical project materials.
- Willingness to learn PLM systems and internal workflows.
- Ability to identify when something is blocked, missing, or delayed.
Preferred Experience
- Product operations, procurement support, project coordination, warehouse coordination, or supply chain support experience.
- Experience working with consumer products, accessories, packaging, or physical goods.
- Experience supporting tradeshows, product launches, or sample coordination.
- Familiarity with purchase orders, vendor communication, inventory, or project management systems.
- Experience working in a fast-paced startup, brand, distributor, or product-based company.
What Success Looks Like
A successful person in this role will help reduce dropped tasks, improve internal follow-up, keep special projects organized, and make sure warehouse, tradeshow, sample, and OEM support needs are handled quickly and clearly.
You will be successful if:
- Special projects stay organized and moving.
- Product samples and project materials are easy to find and track.
- Warehouse-related project needs are followed up on quickly.
- Tradeshow and launch support tasks are completed on time.
- Project blockers are identified early.
- Internal teams receive clear updates.
- Leadership does not have to chase every small task.
- PLM and project notes stay cleaner and more current.
Role Type
Full-time preferred.
Work Style
This role requires someone who is hands-on, practical, and flexible. Some days may be focused on project tracking and PLM updates. Other days may involve warehouse coordination, sample organization, tradeshow prep, or supporting urgent project needs.
The best fit is someone who can stay calm, organized, and useful even when priorities change.
