Performs data entry of mental health case information and is responsible for processing, inputting, and recording subsequent filings and filings fees into the County’s Case Management System. Maintains court records from the initiation of the case through final disposition by routinely reviewing case files to ensure accuracy.
Sends correspondence regarding transferred patients, updates on commitment hearings, and assisted outpatient treatment documents to various departments to include the District Attorney’s Office, Public Defender’s Office, Bexar County Sheriff’s Office, and mental health facilities.
Ensures time-sensitive and confidential mental health cases are processed expeditiously in accordance with Health and Safety Code.
Monitors encrypted email and facsimile machine for time-sensitive applications to review and accept filings in accordance with Health and Safety Code. Reviews, accepts, or returns paper and electronic filings for both new and existing cases into the County’s Case Management System. Provides statute-mandated documents and applications to relevant case parties and mental health facilities.
Prepares a diverse range of court documents such as judgments, writs, civil warrants, judicial orders, exemplified and certified copies, and other documents from court actions and for hearings and service.
Prepares case files to ensure necessary documents are in order prior to hearings.
Sets, cancels, resets, and dismisses hearings in the County’s Case Management System in accordance with Health and Safety Code.
Creates, maintains, and updates mental health dockets and special dockets for court proceedings.
Contacts and schedules court interpreters for any cases requiring interpretation for non-English speaking patients.
Attends all mental health court hearings for Probable Cause and Commitment (in-person or remote hearings) and assists the District Attorney, Public Defender, Bailiff, Associate Judges and Probate Judge and in person. Processes court evidence and exhibits by inputting data into the County’s Case Management System, and drafts judgments as hearings are being conducted.
Verifies judge’s signatures on orders and issues all signed orders to mental health facilities to commit patients or release patients via encrypted email/SharePoint/facsimile machine.
Finalizes number of disposition of cases on mental health dockets and special dockets to be reported to the Texas Office of Court Administration, in accordance with Health and Safety Code.
Verifies guardianships throughout the state of Texas.
Scans court documents into the County’s Case Management System and maintains all mental health files and files all confidential documents accordingly. Organizes records in compliance with County procedures and State Law and retrieves records as needed.
Prepares files and converts all paperwork into an electronic image by scanning documents into the County’s Case Management System and into Adobe Acrobat Sign for approval or denial by the District Attorney and Associate or Probate Judge.
Prepares court orders and warrants for mental health evaluations
Communicates with representatives of the Mobile Crisis Outreach Team for follow up services for any warrants denied by the Associate Judge or Probate Judge.
Prepares and coordinates proper service of writs of mental health commitments, notice of hearings, and protective custody orders in accordance with Health and Safety Code.
Processes and enters all notice of hearing and protective custody order returns.
Prepares and processes orders for patient transportation by Bexar County Mental Health Deputies to treatment facilities and hearings.
Verifies monies received and Legal Ease forms are filled out correctly to process payment.
Performs cashier duties and may prepare deposits. Calculates and collects processing fees. Reconciles all monies received and creates related financial reports.
Contacts mental health facilities and the general public to verify or request corrections to applications or forms for processing.
Provides assistance and answers inquiries via telephone, encrypted email, and in person.
Processes incoming mail and outgoing certified mail
May assist with training coworkers in court operations, procedures and policies.
Acts as custodian of record and maintains case file confidentiality; coordinates files going to off-site Records Center.
Performs all other related duties as assigned
