- Coordinate office schedules, calendars, and the brokerage floor duty schedule.
- Process accounts payable, bank deposits, and maintain accurate financial records.
- Calculate and process agent commission payments.
- Assist agents with contracts, transaction paperwork, and administrative support throughout the transaction process.
- Provide executive administrative support to brokerage leadership.
- Coordinate with the company's accountant, benefits administrator, attorneys, lenders, title companies, vendors, and cooperating brokerages.
- Maintain organized office systems, databases, electronic files, and calendars.
- Manage office inventory, equipment, and vendor relationships.
- Utilize QuickBooks, real estate software platforms, and other technology systems essential to daily operations.
- Assist with onboarding new agents and employees, special projects, and company initiatives.
- Identify opportunities to improve workflows, streamline processes, and enhance operational efficiency.

- Highly organized and exceptionally detail-oriented.
- Proactive, resourceful, and able to anticipate needs before they arise.
- Comfortable managing multiple priorities in a fast-paced environment.
- A strong communicator who enjoys building positive relationships with clients, agents, and business partners.
- Professional, approachable, and customer-focused.
- Calm under pressure and confident solving problems independently.
- Trustworthy and able to maintain strict confidentiality with financial, personnel, and client information.
- Comfortable learning new technology and software platforms.
Qualifications
- Proficiency with QuickBooks is required.
- Strong computer skills and the ability to quickly learn new software and technology platforms.
- Experience in office management, operations, accounting, real estate, or a professional administrative environment is preferred.
