Overview
We are seeking a dynamic and organized Part-Time Front Office Administrator / Executive Assistant to join our team! Duties
- Greet visitors and clients warmly, ensuring a professional first impression at all times
- Manage multi-line phone systems, route calls accurately, and handle inquiries with excellent phone etiquette
- Maintain organized filing systems, both physical and digital, ensuring confidentiality of sensitive information
- Perform data entry tasks with precision using Microsoft Office and Google Workspace tools
- Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and financial record management
- Assist with calendar management and scheduling for executives or team members to optimize time utilization
- Handle office supply inventory, place orders as needed, and ensure the front desk area remains welcoming and organized
- Provide customer service support by addressing inquiries promptly and professionally, both in person and over the phone
- Support clerical tasks such as proofreading documents, preparing correspondence, and managing client communication
Experience
- Proven office management or administrative experience in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with attention to detail in filing, data entry, and document proofreading
- Exceptional customer service skills with the ability to communicate effectively via phone and in person
- Bilingual abilities are a plus to serve diverse client needs effectively
- Demonstrated ability to handle confidential information discreetly and professionally
- Prior experience supporting executives or personal assistants is advantageous
- Strong time management skills to prioritize tasks efficiently in a part-time role
