Core Responsibilities
1. Financial Accounting & Close
· Help with monthly close processes
· Review and post journal entries (accruals, revenue recognition, reserves)
· Ensure accurate brokerage revenue and margin reporting
· Reconcile balance sheet accounts (Cash, AR, AP, accruals, prepaid, reserves, fuel advances, commissions)
· Maintain check register
· Report weekly payroll
· Support annual audits, reviews, and lender reporting
· Submit Agent commission payments weekly (Wells Fargo ACH)

2. Revenue Recognition & Margin Control
· Ensure proper revenue recognition (load delivered vs billed)
· Monitor gross margin by customer, carrier, and lane
· Identify margin leakage (rate discrepancies, accessorial errors, missed billings)

3. Accounts Receivable (AR)
· Work with billing team to ensure customer invoicing accuracy and timeliness
· Monitor DSO (Days Sales Outstanding)
· Support credit policy enforcement and customer credit limits
· Assist with collections strategy and dispute resolution
· Deposit/Apply Cash Receipts
· Record/Reconcile Customer Prepayments (Unearned Income)

4. Accounts Payable (AP) & Carrier Payables
· Ensure accurate carrier settlements
· Monitor timely carrier payments to protect carrier relationships
· ACH/Refund Customer overpayments
· Pay Carrier Payment ACH Returns
· Support compliance with quick-pay arrangements
· Accurately record and pay monthly Overhead/Office bills

5. Cash Flow & Working Capital
· Assist in cash flow forecasting
· Monitor funding needs related to:
o Carrier prepayments
o Fuel advances

6. Systems & Process Improvement
· Manage and optimize financial workflows across:
o TMS (Transportation Management System) – Aljex (Descartes)
o Carrier Payments & Customer Billing - Epay
o Accounting system – Be Proficient in QuickBooks
· Improve automation in billing, settlements, and reconciliations
· Develop SOPs for accounting processes

7. Reporting & Analysis
· Prepare and review margin analysis and KPI dashboards
· Support budgeting and forecasting
· Provide ad-hoc analysis for leadership (pricing, profitability, growth scenarios)
· Prepare & Send Annual 1099’s (January)
· Prepare Annual Property Taxes (May)

8. Leadership & Cross-Functional Support
· Support accounting staff (AP, AR, billing, cash receipts, commissions)
· Train team on brokerage-specific accounting nuances
· Act as a liaison between finance, operations, and sales
· Serve as a backup to the Controller/CFO
· Be able to demonstrate your ability to be detailed oriented

Key Skills & Knowledge for Freight Brokerage
