Duties
- Oversee daily office operations, including managing front desk activities and multi-line phone systems to ensure prompt and professional communication.
- Coordinate calendar management, scheduling meetings, appointments, and events with precision using tools like Google Workspace and Microsoft Office.
- Handle clerical tasks such as data entry, filing, proofreading, and maintaining accurate records to support administrative workflows.
- Provide exceptional customer service by greeting visitors, answering inquiries, and supporting client interactions with professionalism and courtesy.
- Manage office supplies inventory, place orders as needed, and ensure the office remains organized and well-stocked.
- Support bookkeeping activities using QuickBooks or similar software for accurate financial record-keeping.
- Assist with special projects or personal assistant duties as required to support team members’ needs.
- Maintain phone etiquette standards while directing calls efficiently across multi-line systems and providing support via bilingual communication when necessary.
Requirements
- Proven experience in office management or administrative roles with a strong background in clerical support and customer service.
- Demonstrated proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, data entry, and computer literacy.
- Familiarity with QuickBooks accounting software and basic bookkeeping practices is preferred.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Strong written and verbal communication skills; bilingual ability is a plus for serving diverse clients and team members.
- Experience handling front desk responsibilities, phone etiquette, multi-line phone systems, filing, proofreading, and calendar management.
- Knowledge of medical or dental receptionist duties is advantageous but not required.
- Personal assistant experience or medical receptionist background is beneficial for supporting executive needs.
