Operations Coordinator – Overview
Blue Sky Clayworks is a fast-growing wholesale ceramic business specializing in handcrafted decorative ceramics. We proudly supply major big-box retailers, independent shops, garden centers, distributors, and our direct-to-consumer website.
We are seeking a highly organized, detail-oriented Operations Coordinator to oversee the day-to-day fulfillment operations for our Garden Division distributor orders while managing all showroom sample and catalog requests. This role is essential to ensuring accurate order processing, timely shipments, and an exceptional customer experience for our distributors and sales representatives.

Responsibilities
Garden Division Operations & Order Fulfillment
- Manage all Garden Division distributor orders from order receipt through final shipment.
- Coordinate order fulfillment with the warehouse to ensure timely and accurate shipping.
- Review orders for accuracy, inventory availability, shipping requirements, and special customer requests.
- Communicate with distributors regarding order status, shipping schedules, backorders, and delivery updates.
- Coordinate with purchasing, warehouse, customer service, and sales teams to resolve order issues quickly.
- Monitor fulfillment deadlines to ensure on-time shipments.
- Track and update order statuses within internal systems.
- Assist with freight coordination and shipping documentation as needed.
- Work closely with warehouse staff to prioritize urgent distributor orders.
- Identify process improvements to increase fulfillment efficiency and accuracy.
Showroom Coordination
- Manage all showroom inventory, ensuring samples, displays, and catalogs remain organized and fully stocked.
- Coordinate and fulfill all sample requests for sales representatives, distributors, and customers.
- Prepare, package, and ship product samples and catalogs accurately and on schedule.
- Maintain inventory levels of catalogs, marketing materials, and showroom supplies.
- Assist in showroom setup, seasonal merchandising, and product displays.
- Ensure the showroom is clean, organized, and presentation-ready for customer visits.
- Coordinate showroom appointments and assist visiting customers and sales representatives.
- Track outgoing samples and maintain accurate sample inventory records.
Administrative & Office Support
- Maintain accurate records of orders, shipments, sample requests, and inventory.
- Perform data entry with a high level of accuracy.
- Communicate effectively across departments to ensure projects stay on schedule.
- Assist with inventory counts and reconciliation as needed.
- Support company leadership with special operational projects.
- Develop and improve internal processes to increase efficiency.
- Perform additional administrative duties as assigned.
Qualifications
- 2+ years of operations, logistics, order fulfillment, customer service, or administrative experience preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High attention to detail and accuracy.
- Strong problem-solving skills and ability to work independently.
- Proficient in Microsoft Office (Excel, Outlook, Word).
- Experience with ERP or order management systems is a plus.
- Experience in wholesale, distribution, manufacturing, or logistics is preferred.
Preferred Skills
- Knowledge of order fulfillment and shipping processes.
- Experience coordinating with warehouses and freight carriers.
