Job Summary:
We are a busy cardiology office seeking a highly motivated and organized individual to join our team as a Check In/Out Coordinator. This role combines key scheduling responsibilities with patient check-out duties, supporting both administrative and patient-facing functions. The ideal candidate will be proactive, customer-focused, and able to multitask efficiently in a fast-paced medical environment.
Key Responsibilities:
- Schedule follow-up appointments for patients after their visits with providers.
- Contact hospitals or other healthcare facilities to schedule patient procedures or appointments as needed.
- Collect patient balances, process transactions, and assist with billing inquiries.
- Answer incoming calls, direct calls to the appropriate staff, and respond to patient inquiries.
- Greet patients, ensure they are checked in and out promptly, and provide excellent customer service.
- Maintain accurate and organized patient records and paperwork.
- Utilize Electronic Health Records (EHR) systems for appointment scheduling, patient updates, and billing functions.
- Confirm/Reschedule appointments as needed for Ultrasounds, Stress Tests, Muga, Holter, Event Monitors, and provide accurate education, send hospital procedure orders to the procedure scheduler/RN
- Rotation of answering phones and tasks for check-out demands
- Send or schedule diagnostic orders for appointments in outside facilities
- Assist with other administrative tasks as needed to ensure smooth office operations.
Qualifications:
- Minimum of 2 years of experience in medical scheduling, check-in/check-out, or similar healthcare administrative roles.
- Proficient computer skills and experience with Electronic Health Records (EHR) systems required.
- Excellent customer service and communication skills with the ability to interact effectively with patients, medical professionals, and supervisors.
- Strong organizational skills and the ability to prioritize tasks in a busy office setting.
- Must have a strong work ethic, be detail-oriented, and demonstrate a high level of professionalism.
- Ability to handle sensitive patient information with confidentiality and integrity.
