The Onboarding Coordinator provides essential administrative support to the recruiting team by managing the end-to-end pre-employment and onboarding process for new hires and serves as a primary point of contact for candidates and team members, delivering responsive support via email, phone, and in-person interactions. The Onboarding Coordinator is responsible for administering background checks and drug screenings, coordinating onboarding activities through electronic systems, and ensuring timely completion of all pre-hire documentation and compliance requirements, including E-Verify processing.
- Coordinate new hire onboarding efforts through electronic onboarding system and maintain regular contact with new hires to ensure completion of assigned pre-hire activities prior to scheduled start dates. (Essential)

Attach notes, assessment results, and other relevant documentation to candidate profiles in the applicant tracking system. (Essential)

Administer pre-employment screening process including initiating and reviewing background check and drug screening; analyze results to ensure minimum hiring requirements are met. (Essential)

Maintain the E-Verify process for all new hires. (Essential)

Provide email, phone, and in-person support to address team member and candidate inquiries. (Essential)

Ensure accurate and timely completion of information and documentation necessary to complete the pre-hiring process. (Essential)

Design and distribute marketing flyers to locations for advertising of vacancies

Support the maintenance and organization of team member files.

Complete special projects related to recruiting as assigned.

Provide general administrative support to the recruiting team.

Maintain and update onboarding resources by creating and refreshing reference guides, process documentation, and manager-facing materials to support a consistent and successful new-hire experience

Administer background checks for current team members at the request of Team Relations, including follow-up on reported violations and documentation of outcomes

Track and report onboarding completion metrics, identify delays or compliance gaps, and escalate unresolved items to appropriate stakeholders.

- High School Diploma or GED (Required)

Bachelor's Degree in Human Resources or business-related field (Preferred)

1 year in administrative support experience (Required)

1 year in human resources experience (Preferred)

1 year in experience administering background checks or pre-employment screening processes (Preferred)

1 year in experience working with E-Verify or I-9 compliance procedures (Preferred)

Strong computer skills with working knowledge of Microsoft Word, Outlook, and Excel

Ability to work independently and collaboratively as part of a team

Ability to multitask and manage multiple tasks simultaneously

Strong organizational skills with the ability to prioritize tasks effectively

Ability to handle sensitive information and maintain confidentiality

Basic knowledge of HR functional areas
