Since 1999, We Care of Central Florida (WCCF) has been Polk County’s only Specialty Referral Provider Network, connecting low-income, uninsured adults with volunteer medical specialists. We partner with local providers to deliver labs, diagnostics, specialty care, breast care, vision care, transportation to healthcare appointments, and durable medical equipment, all at no cost to patients, ensuring access to essential healthcare that would otherwise be out of reach.
ABOUT PROJECT HELPFUL HEARTS
Project Helpful Hearts (PHH) is WCCF’s durable medical equipment program, collecting and redistributing new and gently used DME, including hospital beds, wheelchairs, power chairs, mobility scooters, walkers, lift chairs, and bedside commodes to individuals and families facing medical hardship. Equipment is donated by community members and organizations and provided free of charge to qualifying Polk County residents.
POSITION OVERVIEW
The Project Helpful Hearts Equipment Coordinator supports We Care of Central Florida’s durable medical equipment program by managing the pickup, delivery, cleaning, and storage of donated equipment for uninsured and underinsured Polk County residents. This role ensures that equipment is safely transported, properly sanitized, accurately tracked, and made available to clients in a timely and dignified manner.
CORE RESPONSIBILITIES
Equipment Pickup & Delivery
- Pick up donated durable medical equipment (wheelchairs, walkers, hospital beds, shower chairs, mobility scooters, lift chairs, etc.) from donors throughout Central Florida.
- Deliver equipment to patients' homes in a timely, professional, and compassionate manner throughout Polk County.
- Communicate with clients to confirm delivery and pickup appointments; coordinate scheduling with the Operations Director.
- Represent We Care of Central Florida professionally and compassionately in every patient and donor interaction.
Equipment Cleaning & Inspection
- Clean, sanitize, and inspect all equipment upon receipt or return, following WCCF’s infection control and safety standards.
- Perform minor equipment maintenance and repair as needed.
- Flag items that are unsafe or unsuitable for reuse and communicate concerns to the Operations Director.
Inventory & Storage Management
- Organize and maintain all off-site, and on-site storage spaces, ensuring equipment is arranged for efficient retrieval and safe stacking.
- Track all incoming and outgoing equipment in Asset Tiger, keeping records current, accurate, and complete.
- Report inventory needs, equipment shortages, or maintenance concerns to the Operations Director.
Vehicle & Facility Maintenance
- Load and unload equipment safely, using proper body mechanics and available equipment (dollies, ramps, straps).
- Maintain the cleanliness and organization of the delivery vehicle at all times.
- Maintain the cleanliness and organization of the storage facility.
Additional Duties
- Assist with community outreach events and organizational initiatives as needed.
- Perform other duties as assigned by the Operations Director or CEO.
QUALIFICATIONS
- Valid Florida driver’s license with a clean driving record; ability to be added to WCCF’s auto insurance policy.
- Must successfully pass a background check prior to beginning work.
- Ability to lift and maneuver equipment up to 50 lbs., and to safely load/unload larger items.
- Comfortable driving a cargo van.
- Basic familiarity with spreadsheets or inventory software; experience with Asset Tiger or similar asset-tracking systems is a plus.
- Strong organizational skills and attention to detail.
- Reliable, punctual, and able to maintain a consistent weekly schedule.
- Compassionate, respectful demeanor when interacting with clients who may be elderly, ill, or in vulnerable circumstances.
- Prior experience in a warehouse, logistics, healthcare, or nonprofit setting is helpful but not required.
EDUCATION
- High school diploma or equivalent required.
PHYSICAL REQUIREMENTS
This position requires regular physical exertion. Candidates must be able and willing to:
- Independently lift, carry, push, and pull equipment weighing up to 50 lbs. This is a single-person position; no additional staff will be available to assist. The use of assistive equipment (dollies, ramps, hand trucks, and straps) is available and expected, but the candidate must be capable of managing all equipment handling independently.
- Frequently bend, kneel, and reach to load, unload, clean, and organize equipment.
- Safely operate a delivery vehicle for extended periods.
- Work both indoors (storage and cleaning) and outdoors (loading and delivery) in varying Florida weather conditions.
COMPENSATION & TERMS
- $22.00 per hour.
- This is a part-time position. Hours are 15–20 per week, flexible but consistent week to week, and must fall within Monday–Friday, 7:00 AM–7:00 PM.
- This position is not benefits-eligible.
