The Product Development Administrator provides administrative and data-entry support to the Product Development team. This is an entry-level role focused on entering, updating, and maintaining product, material, sample, and development information in company systems, and on keeping records, logs, files, and libraries accurate and organized.
Duties and Responsibilities:
Administrative Support
- Provide general administrative support to the Product Development team, including scheduling assistance, note-taking, and preparing routine correspondence as requested.
- Track and follow up on outstanding items, samples, and information at the direction of the team, and report status back.
- Send routine follow-up messages to internal partners and vendors using templates or direction provided by the team.
- Assist with the administrative preparation, entry, and tracking of purchase orders (POs), including inputting PO details, maintaining PO logs, and following up on outstanding PO information as directed by the team.
- Communicate clearly and professionally with internal team members regarding tasks, data, samples, and documentation.
- Escalate missing information, errors, delays, or issues promptly.
Data Entry and System Administration
- Enter, update, and maintain product, material, trim, sample, and development information in Centric PLM, A2000 or other company systems, following established templates and instructions.
- Enter and update style numbers, color codes, product descriptions, analysis codes, and material records as assigned.
- Input product specification details provided by the team, including bills of materials, trim details, packaging information, and label placement, into the appropriate system fields.
- Review entered data for completeness and accuracy against source documents, and flag discrepancies or missing information to the appropriate team member.
- Run and format standard reports, logs, and lists from systems as requested.
Record-Keeping, Filing, and Documentation
- Maintain organized digital files, shared folders, product records, sample records, vendor documents, testing documentation, and development correspondence.
- Keep sample logs, development tracking sheets, line lists, and calendars updated with information provided by the team.
- File, label, and organize physical and digital documents, swatches, and reference materials.
- Maintain and update physical and digital libraries for fabrics, trims, embellishments, and packaging, including labeling, sorting, and filing components as directed.
- Ensure records and documentation are current, consistent, and accessible to the team.
Qualifications
- Approximately 1 to 2 years of administrative, data-entry, clerical, or coordination experience; exposure to apparel, textiles, product development, or a related environment is a plus.
- Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Experience with, or ability to quickly learn, PLM, ERP, or similar systems.
- Clear, timely, and professional communication.
- Ability to manage multiple routine tasks and meet deadlines in a fast-paced environment.
- Ability to work collaboratively and take direction from team members.
- Basic familiarity with Adobe Illustrator or Adobe Creative Suite is a plus.
- Basic familiarity with apparel, fabric, trims, or garment terminology is a plus but not required.
- English language proficiency required; Spanish bilingual skills preferred.
Hourly Range
$USD annually, commensurate with experience and qualifications.
