Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar, scheduling appointments, meetings, and events with precision and flexibility.
- Coordinate various projects by tracking deadlines, preparing materials, and ensuring timely completion through effective project management techniques.
- Provide executive administrative support by preparing correspondence, reports, and presentations with high accuracy through proofreading and transcription skills.
- Handle front desk duties including greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing inquiries appropriately.
- Maintain organized filing systems both physically and digitally using Google Workspace and other office software to ensure quick retrieval of documents.
- Oversee office management tasks such as supply inventory, equipment maintenance, and implementing efficient office procedures to enhance productivity.
- Utilize QuickBooks for bookkeeping tasks including invoicing, expense tracking, and basic financial recordkeeping in compliance with organizational policies.
- Support event planning efforts for staff meetings, community outreach events, or training sessions by coordinating logistics and preparing materials as needed.
- Perform data entry tasks accurately within various databases while maintaining confidentiality of sensitive information.
- Assist with transcription of meetings or interviews and proofread documents to ensure clarity and professionalism. Experience
- Minimum of three years of administrative experience supporting senior executives or healthcare professionals in a fast-paced environment.
- Proven experience in office management, including calendar coordination, filing systems, and handling multi-line phone systems.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Docs, Sheets), and familiarity with DocuSign for electronic signatures.
- Demonstrated ability in event planning, project coordination, bookkeeping using QuickBooks, and general clerical tasks such as data entry and proofreading.
- Excellent organizational skills with the ability to prioritize tasks effectively while managing multiple responsibilities simultaneously.
- Exceptional customer service skills combined with professional phone etiquette to interact confidently with staff, clients, patients’ families, and external partners.
- Experience providing executive administrative support within a healthcare or hospice setting is preferred but not required; a strong desire to learn is essential. Pay: $24.79 - $29.85 per hour
