Position Summary
Alpha Process & Installation is seeking a highly organized, detail-oriented Scheduler / Resource Coordinator to join our growing team. This critical role serves as the communication hub between our Project Managers, Installation Supervisors, Purchasing Department, customers, and field personnel.The Scheduler / Resource Coordinator is responsible for coordinating manpower, travel logistics, project schedules, hotel accommodations, and administrative support to ensure projects are staffed and executed efficiently. Success in this role requires exceptional organizational skills, strong communication, the ability to multitask in a fast-paced environment, and a proactive approach to problem-solving. Essential ResponsibilitiesScheduling & Resource Management
- Coordinate manpower assignments for installation projects throughout the United States.
- Maintain and update project schedules based on customer requirements and project timelines.
- Coordinate employee schedules with Project Managers and Installation Supervisors.
- Track crew availability, vacations, time-off requests, training schedules, and certifications.
- Ensure proper staffing levels while maximizing labor utilization.
- Communicate schedule changes promptly to employees and project management.
Travel & Logistics
- Book hotels, flights, rental vehicles, and travel arrangements for field crews.
- Coordinate travel itineraries while maintaining company travel policies.
- Monitor hotel reservations, extensions, cancellations, and changes.
- Assist employees with travel-related questions and logistics.
Administrative Support
- Answer and direct incoming phone calls professionally.
- Greet customers, vendors, and visitors.
- Manage calendars, meetings, and conference scheduling.
- Maintain electronic and physical filing systems.
- Prepare reports, spreadsheets, and correspondence.
- Perform accurate data entry and maintain project documentation.
Project Support
- Assist Project Managers with scheduling updates and manpower forecasting.
- Track project start dates, completion dates, and schedule changes.
- Coordinate communication between office staff and field personnel.
- Maintain current project status reports for management.
- Support customer communication regarding scheduling and mobilization.
Office Coordination
- Maintain office supplies and equipment.
- Assist with document preparation and proofreading.
- Support onboarding documentation for new employees.
- Assist with payroll-related scheduling information and employee records.
- Provide general administrative support to executive leadership.
Qualifications
- Administrative, scheduling, resource coordination, or office management experience would be nice, but willing to train the right person.
- Excellent organizational and time-management skills.
- Strong verbal and written communication abilities.
- Ability to prioritize multiple projects while meeting deadlines.
- High attention to detail and accuracy.
- Professional customer service and phone etiquette.
- Ability to work independently while collaborating with multiple departments.
Preferred Qualifications
- Experience scheduling field service or construction personnel.
- Manufacturing or industrial construction experience preferred.
- Experience coordinating travel and hotel accommodations.
- Knowledge of Microsoft Office (Excel, Word, Outlook, Teams).
- Experience with QuickBooks or ERP software is preferred.
- Familiarity with payroll or timekeeping systems.
- Bilingual communication skills are a plus but not required.
