Responsibilities
- Manage and coordinate daily schedules for multiple team members, ensuring all appointments, meetings, and deadlines are accurately booked and prioritized
- Utilize scheduling software and tools such as Microsoft Office, Google Workspace, or specialized calendar management systems to organize appointments efficiently
- Answer multi-line phone systems with professionalism, practicing excellent phone etiquette while directing calls appropriately
- Maintain accurate records through data entry, filing, and proofreading of schedules, correspondence, and related documents
- Support front desk operations by greeting visitors, managing walk-in inquiries, and providing exceptional customer service
- Assist with office management tasks including organizing files, managing supplies, and supporting clerical duties such as typing reports or correspondence
- Coordinate with team members to adjust schedules as needed, ensuring optimal time management and resource allocation
Qualifications
- Experience with EHR, preferably eCW
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and familiarity with QuickBooks or bookkeeping software is preferred
- Excellent communication skills with bilingual abilities considered a plus; strong phone etiquette essential
- Previous experience in a dental or medical receptionist role or as a personal assistant is advantageous
- Demonstrated ability to handle multiple tasks simultaneously while maintaining accuracy and attention to detail
- Strong typing skills along with proficiency in data entry, proofreading, filing, and general clerical work
- Knowledge of office equipment such as multi-line phone systems and front desk operations is highly desirable
