Position Summary
We are seeking an organized, detail-oriented, and proactive Administrative Project Coordinator to support our commercial construction projects from pre-construction through project closeout. This position works closely with Project Managers, Superintendents, subcontractors, and internal staff to ensure project documentation requirements are completed accurately and on time.
The ideal candidate is highly organized, comfortable managing multiple projects and deadlines, and has experience working in a fast-paced commercial construction environment.
Key Responsibilities
- Provide day-to-day administrative and project coordination support to Project Managers.
- Track subcontractor and vendor documentation, including insurance certificates, W-9s, and required compliance documents.
- Assist with obtaining subcontractor and vendor proposals and maintaining bid and procurement information.
- Track outstanding documentation and follow up with subcontractors and vendors as necessary.
- Coordinate project closeout documentation, including warranties, manuals, as-built drawings, punch lists, and other required turnover documents.
- Perform additional administrative duties as required.
Qualifications
- 2+ years of administrative or project coordination experience; commercial construction experience preferred.
- Strong organizational and time-management skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to follow through on outstanding items.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.
- Ability to communicate effectively with Project Managers, field personnel, subcontractors, vendors, and clients.
- Ability to work independently while also contributing effectively as part of a project team.
- Professional, dependable, and able to maintain confidentiality when handling sensitive project and company information.
Preferred Skills
- Previous experience with a commercial general contractor, construction manager, or subcontractor is a plus.
- Strong follow-up skills.
- Ability to anticipate project administrative needs and keep tasks moving without constant supervision.

Pay: $45,000.00 - $60,000.00 per year
