Gameday Men's Health Patient Experience Coordinator (Remote – U.S.)

Lunch: 12:00–1:00 PM Pacific Time | 35 hours per week
About Us
We are a fast-growing concierge men’s health practice with multiple locations in Northern California. We are looking for a highly responsive, organized, and compassionate professional to serve as the primary point of contact for our current patients.
This is not a call center role. It is a high-touch patient service position for someone who takes ownership, follows through, and makes sure nothing falls through the cracks.

Responsibilities
- Monitor our GoHighLevel CRM continuously throughout the workday.
- Respond to all CRM messages and emails within 10 minutes during business hours.
- Monitor and respond to patient questions and comments across our social media channels.
- Answer incoming patient phone calls promptly and return missed calls and voicemails.
- Assist current patients with appointment scheduling and rescheduling, membership questions, billing inquiries, medication refill requests, lab scheduling, and general clinic questions.
- Deliver a warm, professional, concierge-level experience across phone, CRM, email, and social media.
- Conduct proactive patient check-ins and follow established patient outreach workflows.
- Escalate clinical, billing, medication, or operational concerns to the appropriate clinic team member.
- Own every patient concern from start to finish. Follow up with clinic staff, keep the patient informed, and close the loop by ensuring every question, request, or issue is fully resolved.
- Document all patient communication accurately and maintain a clean, organized, and up-to-date CRM.
- Identify recurring patient concerns or workflow issues and communicate trends and improvement opportunities to leadership.
Scope of the Role
This position is initially focused exclusively on current patients and is not responsible for new lead management. Once fully trained, this person may provide occasional backup support for new patient inquiries when the primary team member is unavailable.

Preferred Qualifications
- 2+ years of customer service or patient-facing experience
- Medical office, concierge healthcare, dental, specialty clinic, or med spa experience strongly preferred
- Experience using a CRM, electronic medical record, or scheduling platform
- Strong phone etiquette and written communication skills
- Familiarity with HIPAA and patient privacy
