Assistant Property Manager

The Assistant Property Manager plays a critical role in supporting property operations, resident retention, rent collections, and administrative functions across our Hyde Park portfolio. Located just steps from the University of Chicago campus, these communities offer residents an all-inclusive living experience with fully furnished units and access to exceptional amenities.
This position reports directly to the Property Manager and partners closely with the Leasing and Maintenance teams to ensure smooth operations, strong financial performance, and a positive resident experience.
Your Mission
Resident Relations
- Serve as a primary point of contact for residents, ensuring timely and professional responses to emails, phone calls, voicemails, and resident inquiries.
- Maintain a high level of customer service while balancing company policies and operational requirements.
- Build positive relationships with residents while addressing concerns, complaints, and service requests with urgency and professionalism.
- Facilitate move-in and move-out processes to ensure seamless resident transitions.
- Promote a positive community culture through resident engagement initiatives and community events.
Leasing Support and Resident Retention
- Assist with leasing activities, including property tours, application processing, and lease preparation. May require support on Saturdays as business needs require.
- Partner with the Leasing Team to support revenue goals by monitoring lease expirations, maintaining knowledge of current market conditions and competitive properties, and proactively communicating with residents about renewal opportunities
- Support occupancy goals by helping maintain strong resident satisfaction and retention rates.
Property Operations and Administrative Functions
- Coordinate maintenance requests, property inspections, make-ready activities, and vendor services to ensure a safe, clean, and well-maintained community.
- Manage resident accounts, including rent collections, payment posting, delinquency tracking, and documentation of account activity.
- Communicate proactively with residents regarding outstanding balances, payment arrangements, lease compliance matters, and other account-related concerns, including difficult conversations when necessary.
- Assist with legal notices, collections efforts, and eviction processes in accordance with company policies and applicable regulations.
- Maintain accurate resident records, reports, and property documentation while ensuring timely completion of administrative tasks, follow-up items, and resident communications.
- Support accounting, invoicing, vendor management, and other property administration functions while effectively managing multiple priorities and deadlines with exceptional attention to detail.
Your Track Record
- Associate degree, bachelor's degree, or comparable experience in property management, hospitality, customer service, or a related field.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Experience handling sensitive or difficult conversations with professionalism and confidence.
- Demonstrated customer service experience and ability to build positive resident relationships.
- Strong computer proficiency, including Microsoft Office applications.
- Experience with property management software such as AppFolio, Knock, or similar platforms preferred.
- Ability to work occasional evenings and Saturdays as business needs require.
