We are seeking a highly organized and detail-oriented Administrative Assistant to assist in our administrative operations. The ideal candidate will help manage workflows, ensure exceptional client service, support our field teams, and maintain a seamless operational environment. The ideal candidate must be dependable, have excellent organizational skills, strong customer service abilities, and the capacity to multitask in a fast-paced environment.
Key Responsibilities
Administrative Support
- Assist in manage office communications, including answering phones, monitoring emails and directing correspondence.
- Maintain organized filing systems, records and documentation.
Payroll & Accounting
- Process payroll accurately and on schedule.
- Maintain employee payroll records and documentation.
- Assist with accounts payable and accounts receivable functions.
- Reconcile accounts, process invoices, purchase orders and expense reports.
- Support month-end and year-end accounting activities.
Human Resources
- Assist with recruitment, onboarding, and offboarding processes.
- Maintain employee personnel files and HR records.
- Coordinate benefits administration and employee documentation.
- Ensure compliance with company policies and employment regulations.
Purchasing & Receiving
- Manage purchasing activities, including sourcing, ordering, and tracking materials and supplies.
- Receive and verify incoming shipments against purchase orders
- Project Management & Coordination
- Support planning, scheduling, and tracking of company projects.
- Maintain project documentation and status reports.
Qualifications
- Associates or Bachelor’s degree in Business Administration or Accounting preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- High level of accuracy, discretion, and attention to detail.
- Ability to work independently and manage confidential information.

Pay: $20.00 - $25.00 per hour
