Role Overview
We’re hiring a detail-oriented team player to support our operations and customer service efforts.
In this role, you’ll manage customer and order data, create and send invoices, follow up with distributors and customers, and provide direct support by phone and email. You’ll be trained across the Zoho suite — CRM, Books, Inventory, and Desk — and cross-trained on key ops roles so you can step in when needed and keep things moving.
You’ll also coordinate with our sales and distribution partners to support forecasts, inventory alignment, and customer onboarding.
Key Responsibilities
- Coordinate sales orders with distributor partners
- Enter and maintain customer, sales, and order data into our system
- Generate and send accurate invoices
- Follow up with distributors and customers via phone and email
- Respond to service requests and support inquiries
- Track and manage inventory and assets by warehouse and geography
- Coordinate with distribution partners on forecast alignment and fulfillment
- Support sales team with new customer activation and execution
- Review reports to catch errors, analyze usage, and monitor performance
- Document all activities and discussions in CRM
- Identify and share process improvements and customer feedback internally
- Assist with upsell opportunities by monitoring SKU performance
- Step in to support other ops functions during workload spikes or absences
Required Skills
- Strong attention to detail and follow-through
- Confident phone and email communication
- Intermediate Excel skills (filters, formulas, pivot tables a plus)
- Quick learner with ability to navigate Zoho Suite and other tools
- Organized and proactive — not afraid to ask questions or flag issues
- Comfortable working in a fast-paced, results-focused environment
Nice to Have
- Experience in foodservice, hospitality, or B2B sales support
- Familiarity with subscription-based business models
- Bilingual (English/Spanish)
