Job Description
Receptionist and administrative support staff member needed for a well established, fast-paced Real Estate and Business Law firm.
We are seeking a positive, multi-tasking professional to assist with front desk operations of our busy law firm. Prior law firm or similar professional experience is preferred, but not required. Clear communication skills, professional phone etiquette, and computer experience is required.
Bilingual, multi-line phone and advanced computer skills are a plus.
The primary daily tasks for law firm receptionists are:
Operate the Main Phone Line
Law firm receptionists are responsible for answering all incoming calls in a positive and respectful manner and directing them to the appropriate staff member.
Take Messages
When answering calls or when clients come into the legal office, the receptionist must take detailed, informative messages and direct them to the appropriate staff member.
Schedule Appointments
Law firm receptionists schedule appointments for lawyers/paralegals, and book conference room time for depositions and meetings of all types.
Sort Mail and Receive Packages
All incoming mail and packages delivered to the law firm are received and scanned by law firm receptionists. Unless mailed items are marked personal, law firm receptionists open all envelopes and packages before taking these items to the person to whom they are addressed.
General Office Work
Law firm receptionists complete many general office tasks, including copying, filing, and faxing various documents at the request of lawyers and paralegals.
Data Entry
Data entry duties are also assigned to law firm receptionists, for example, typing memos and letters.
Stocking
Law firm receptionists are responsible for replacing items such as office equipment (replacement paper, files, folders) in the appropriate areas
Office Supply Inventory
Law firm receptionists monitor the quantity of office supplies used by the staff, ordering new items as necessary.
Refreshments
Law firm receptionists are responsible for the Coffee & Tea Station, and ensuring that beverage supply is readily available for staff and clients of the firm.
Front Lobby
Law firm receptionists keep the lobby of the law firm neat and appealing at all times. This may include replacing flowers, watering plants, light dusting or sweeping, arranging magazines, and other related tasks.
Other
General assistance as requested by the firm's lead attorney.
