We’re looking for a friendly Receptionist to join our team in Urbandale. The ideal candidate for this position is someone with exceptional customer service skills, attention to detail, effective communication skills, and a team player.
Key Responsibilities:
- Greet customers, answer questions, and provide professional, welcoming experience
- Schedule appointments and coordinate workflow with estimators
- Communicate repair status updates to customers throughout the repair process
- Process payments, prepare invoices, and manage customer billing
- Perform QuickBooks data entry
- Maintain accurate customer records, repair orders, and insurance documentation
- Answer phones, manage emails, and support general office administration
- Resolve customer concerns and ensure a positive service experience
- Coordinate vehicle drop-offs, pick-ups, and rental care arrangements
Required Experience & Skills:
- Customer service experience (auto industry preferred but not required)
- QuickBooks experience - entering invoices, payments, vendor bills, and basic accounting tasks
- Strong communication skills and a professional, friendly demeanor
- Ability to multitask in a fast-paced environment
- High attention to detail and accuracy in paperwork and data entry
- Basic automotive knowledge helpful but not required
- Experience with scheduling software, repair order system, or office applications
- Problem-solving skills and ability to handle customer concern calmly and professionally
- High-school diploma or equivalent
Preferred Experience:
- Auto body shop, dealership, service advisor, or insurance claims background
- Familiarity with CCC, Mitchell, or other estimating software
- Prior administrative or office management experience
