The Billing Administrator is responsible for preparing and processing customer invoices, supporting project billing activities, maintaining billing records, and assisting with contract and expense reconciliation. The ideal candidate is organized, proactive, and comfortable working in a fast-paced project-based environment.
This role works closely with Operations, Project Management, and Finance to ensure accurate and timely billing for field service and project work across Canada and the United States.
Key Responsibilities:
- Prepare and process customer invoices accurately and in a timely manner
- Review work orders, timesheets, expenses, purchase orders, and project documentation to support billing
- Coordinate with Project Managers and Operations teams to resolve billing discrepancies or missing information
- Track customer billing requirements and contract terms
- Assist with billing schedules, and progress billing
- Maintain accurate customer records and billing files
- Support collections activities by responding to customer billing inquiries and providing supporting documentation
- Reconcile billable expenses including travel, per diems, equipment, and subcontractor costs
- Support continuous improvement of billing and administrative processes
Qualifications
- 2+ years of experience in billing, accounts receivable, project administration, or accounting support
- Experience in construction, industrial services, utilities, engineering, or field service industries considered an asset
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office, particularly Excel
- Experience with Netsuite systems considered an asset
- Strong written and verbal communication skills
- Ability to work independently and collaboratively within a team environment
Preferred Qualifications
- Experience with project-based billing environments
- Familiarity with time and expense tracking systems
- Understanding of cross-border billing, and customer contract requirements is an asset
