Patient Care Coordinator / Front Office Receptionist

Pay: $20–27/hour, depending on experience

Position Summary
We are looking for a friendly, organized, and dependable Patient Care Coordinator to serve as the first point of contact for our families. This position is responsible for creating a welcoming environment while keeping the front office running smoothly through scheduling, communication, administrative support, and coordination with our clinical team.
The ideal candidate enjoys helping people, can multitask in a fast-paced environment, communicates professionally, and takes pride in staying organized.
Responsibilities
- Welcome and check in patients and families.
- Answer phones, emails, and text messages professionally and promptly.
- Schedule evaluations, treatment appointments, and cancellations.
- Manage therapist schedules and daily clinic flow.
- Verify insurance benefits and assist with authorizations as needed.
- Collect copays and process payments.
- Maintain accurate patient records within our electronic medical record system.
- Communicate with physicians, schools, and community partners as appropriate.
- Assist families with paperwork and onboarding.
- Monitor office supplies and maintain a clean, organized reception area.
- Support therapists and leadership with administrative projects.
- Help create a positive, family-centered experience for every patient.
Qualifications
- High school diploma or equivalent required.
- Previous medical office, pediatric, or customer service experience preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Comfortable learning new technology and electronic medical record systems.
- Ability to prioritize multiple tasks while maintaining attention to detail.
- Positive attitude, professionalism, and reliability.
- Experience with insurance verification or scheduling is a plus but not required.
