Istituto Marangoni Miami is seeking a highly organized, analytical, and service-oriented Finance & Accounting Manager to oversee the institution's daily accounting operations and student financial services. Reporting directly to the Chief Financial Officer, this position plays a critical role in maintaining the financial integrity of the College while ensuring exceptional service to students, families, and internal departments.
The Finance & Accounting Manager will supervise daily accounting activities, oversee student accounts and tuition collections, manage Accounts Payable and Accounts Receivable functions, maintain financial records in QuickBooks, and ensure timely financial reporting and compliance with institutional policies. This position requires an individual who combines strong accounting expertise with excellent customer service skills and the ability to collaborate across Admissions, Registrar, Student Services, and Academic departments.
Key Responsibilities
Accounting Operations & Financial Management
- Supervise and support the daily activities of the accounting team, ensuring timely completion of financial processes and adherence to departmental deadlines.
- Maintain the College's general ledger and accounting records in QuickBooks with a high degree of accuracy.
- Perform daily QuickBooks maintenance, ensuring financial transactions are accurately recorded and reconciled.
- Complete daily bank reconciliations and investigate discrepancies promptly.
- Manage all Accounts Payable and Accounts Receivable functions.
- Process vendor invoices, student payments, refunds, credit memos, journal entries, and account adjustments.
- Process cash, checks, wire transfers, ACH payments, and complete daily bank deposits.
- Assist with month-end and year-end closing procedures.
- Support annual budgeting and financial forecasting activities.
Student Financial Services
- Manage student financial accounts from enrollment through graduation.
- Conduct financial counseling appointments with newly enrolled students and families regarding tuition obligations, payment options, scholarships, institutional grants, financing, and payment plans.
- Coordinate tuition packaging in collaboration with Admissions and Financial Aid personnel to ensure accurate student account setup.
- Monitor outstanding tuition balances and proactively manage collection efforts while maintaining a high level of customer service.
- Prepare student account statements and resolve billing discrepancies.
- Maintain detailed documentation of payment arrangements, financial counseling sessions, scholarships, grants, payment plans, and collection activities.
- Ensure accurate posting of tuition charges, fees, payments, adjustments, scholarships, and institutional grants.
- Coordinate payment plan administration and monitor compliance with payment schedules.
- Support student account clearance processes for registration, graduation, transcript release, and other institutional requirements.
Reporting, Compliance & Internal Controls
- Prepare financial, operational, enrollment, receivable aging, and collection reports for executive leadership.
- Assist with internal and external audits by preparing supporting schedules, reconciliations, and requested documentation.
- Ensure compliance with institutional financial policies and accounting procedures.
- Maintain appropriate internal controls over cash handling, deposits, receivables, and financial transactions.
- Assist with process improvements that increase operational efficiency and strengthen financial controls.
- Communicate financial updates, reporting changes, and project progress to senior leadership and cross-functional departments.
Cross-Department Collaboration
- Partner closely with Admissions, Registrar, Student Services, and Academic Affairs to ensure accurate student account management.
- Support enrollment operations by ensuring financial requirements are completed prior to registration.
- Respond professionally to student, parent, and vendor inquiries regarding billing, payments, and financial account activity.
- Provide exceptional customer service while maintaining institutional financial policies and collection standards.
Required Experience & Skills
- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- Minimum 3 years of progressive accounting or finance experience, preferably within higher education, private education, or a service-based organization.
- Minimum 2 years of supervisory or team leadership experience.
- Strong proficiency in QuickBooks and Microsoft Excel.
- Experience managing Accounts Payable, Accounts Receivable, bank reconciliations, and general ledger accounting.
- Experience with tuition billing, student accounts, payment plans, or educational finance operations is strongly preferred.
- Strong understanding of accounting principles, internal controls, and financial reporting.
- Excellent analytical, organizational, and problem-solving abilities.

- Ability to manage multiple priorities while meeting strict deadlines.
- High level of professionalism, confidentiality, and attention to detail.
Preferred Qualifications
- Experience working within a college or university finance department.
- Experience with Student Information Systems (SIS) such as Populi, CampusVue, Anthology, Jenzabar, or similar platforms.
- Experience supporting audits and regulatory compliance.
- Knowledge of institutional scholarship administration and student payment plan management.
- Advanced Microsoft Excel skills, including PivotTables and financial reporting.
- Experience with CRM systems and payment processing platforms.
- Bilingual (English/Spanish or English/Italian) preferred.

Pay: $65,000.00 - $85,000.00 per year
