This position plays a vital role in ensuring every project begins with the correct materials, in excellent condition, and ready for installation.
Position Summary
The Warehouse Receiving & Quality Assurance Technician is responsible for managing the daily receipt of materials, inspecting deliveries for quality and accuracy, maintaining warehouse organization, tracking inventory, and coordinating with vendors and project managers to resolve any material discrepancies.
This individual will be the primary point of contact for all materials entering the warehouse and will help ensure projects stay on schedule by identifying and resolving issues before materials ever reach the job site.
ResponsibilitiesReceiving & Inventory
- Receive and inspect all incoming deliveries.
- Verify shipments against purchase orders, packing slips, and project material lists.
- Label and organize materials by project.
- Assign designated storage locations within the warehouse.
- Maintain accurate inventory records and material tracking spreadsheets.
- Conduct periodic inventory audits to verify stock accuracy.
- Keep the warehouse clean, organized, and operating efficiently.
Quality Assurance
- Inspect all incoming materials for:
- Damage
- Manufacturing defects
- Missing parts or hardware
- Incorrect colors, finishes, styles, or sizes
- Quantity discrepancies
- Photograph every delivery and upload documentation into CompanyCam.
- Document damaged or incorrect items in company tracking systems.
- Immediately notify vendors and project management of discrepancies.
- Ensure replacement materials are ordered and tracked until received.
Material Tracking & Vendor Coordination
- Maintain a calendar of all anticipated deliveries.
- Coordinate with project managers and designers to verify all required materials have arrived before projects are scheduled to begin.
- Follow up with vendors regarding damaged, missing, delayed, or incorrect materials.
- Manage return authorizations (RMAs) and coordinate vendor pickups or disposal instructions for damaged products.
- Maintain detailed records of delivery dates, claim dates, tracking information, and replacement status.
- Verify that each project has all required materials before they are released to field crews.
Warehouse Operations
- Stage materials by project for upcoming installations.
- Ensure materials are stored safely and in a manner that prevents damage or deterioration.
- Assist crews by preparing materials for loading and delivery.
- Monitor warehouse supplies and notify management when replenishment is needed.
- Continuously look for opportunities to improve warehouse organization, efficiency, and material handling processes.
- Maintain a safe, clean, and professional warehouse environment.
Qualifications
- High school diploma or equivalent.
- Strong computer skills, including Microsoft Excel or Google Sheets.
- Ability to lift up to 50 pounds.
- Excellent organizational and time management skills.
- Strong attention to detail.
- Ability to prioritize multiple projects and deadlines.
- Excellent communication and problem-solving abilities.
- Self-motivated with the ability to work independently while collaborating with the team.

- Every incoming delivery is inspected before being accepted into inventory.
- Damaged, incorrect, or missing materials are identified immediately.
- Vendor claims and replacements are handled promptly.
- Every project has complete and verified materials before construction begins.
- Warehouse inventory remains accurate and organized.
- The warehouse is consistently clean, efficient, and professionally maintained.
- Project managers and field crews can rely on accurate material availability without delays.
Schedule
- Monday through Friday
- This is a full-time salaried position. Most workdays begin at 8:00am conclude around 4:30 PM; however, due to delivery schedules, project demands, or warehouse operations, some days may extend until approximately 6:00 PM. Flexibility is expected as part of this role.
