We are seeking a reliable, observant, and detail-oriented Security Logistics Administrator to join our team and serve as the first line of defense on a receiving loading dock. Duties:
- Control and monitor all access to the shipping and receiving dock, enforcing credentialing requirements for vendors, couriers, fine art handlers, and contractors
- Conduct thorough inspection and documentation of all inbound and outbound shipments, including fine art, exhibition materials, institutional supplies, and retail inventory
- Verify shipping manifests, purchase orders, and chain-of-custody documentation for every delivery escalating discrepancies to the Site Security Manager immediately
- Maintain a real-time dock access log, recording personnel, vehicle, and cargo movements throughout each shift
- Coordinate with art handlers, registrars, and curatorial staff on scheduled deliveries of high-value or sensitive materials, ensuring proper escort and condition reporting
- Enforce vehicle staging protocols and coordinate with facilities management on dock scheduling to prevent unauthorized access windows
- Maintain accurate, organized records of all dock activity including deliveries, pickups, incidents, and vendor visits in both physical and digital logs
- Prepare and submit daily activity reports (DARs) and incident reports to the Site Security Manager and TNG chain of command
- Support procurement and logistics teams with security-related scheduling, vendor vetting documentation, and delivery coordination
- Recognize and respond to security threats, suspicious activity, or policy violations at the dock initiating escalation per TNG and institutional protocols
- Serve as first responder for dock area incidents including theft, damage to shipments, unauthorized access attempts, and medical events pending relief personnel
- Participate in post incident documentation, evidence preservation, and after-action reviews as directed
- Function as an embedded TNG professional building trust with staff, registrars, facilities, and curatorial teams while upholding TNG's standards and conduct
- Liaise with GSOC for real-time monitoring support, threat intelligence updates, and situational awareness relevant to dock operations
- Support institutional special events, traveling exhibition arrivals and departures, and after-hours deliveries as operationally required
- Other duties as assigned
Supervisory Responsibilities:
- This role does not include direct supervisory responsibilities; however, it requires independent coordination with external partners and internal security team to support efficient shipping documentation and logistics processes.
Minimum Qualifications:
- Must possess an active and valid BSIS security guard card.
- Must possess a valid driver’s license and reliable transportation
- Knowledge of security procedures and protocols
- Demonstrated proficiency with access control systems, visitor/vendor management platforms, and CCTV monitoring.
- Strong administrative skills accurate data entry, report writing, and organized record-keeping.
- Ability to remain composed and professional in high-pressure situations involving high-value assets or confrontational individuals.
- Ability to communicate clearly and professionally with staff, visitors, and authorities.
- Ability to observe and report any suspicious or unusual activities or situations.
- Ability to work independently and as part of a team.
- Ability to work in different shifts, including nights, weekends, and holidays.
- Physical fitness and stamina to perform the duties of the job.
Education & Experience:
- High school diploma or GED equivalent; Associate's degree or higher preferred.
- Minimum 2 years of experience in security operations, logistics security, or a related field.
Background Prerequisites:
Must undergo and meet company standards for background check, employment verification, reference checks, physical, and controlled substance testing.
Preferred Qualifications:
- Familiarity with art handling protocols, fine art insurance requirements, or chain-of-custody documentation for high-value shipments.
- CPR/AED certification (or willingness to obtain within 60 days).
- Bilingual communication skills (a plus for vendor and courier interactions).
- Formal training in de-escalation tactics, conflict resolution or crisis intervention.
Working Conditions and Physical Demands:
- Work is performed in a combination of office and warehouse/shipping dock environments
- Regular exposure to non-climate-controlled areas with varying temperatures and noise levels
- Frequent interaction with delivery drivers, warehouse staff, and security personnel
- Use of standard office equipment and shipping/logistics systems
- Presence of moving machinery such as forklifts and pallet jacks; adherence to safety protocols required
- Requires standing, walking, and occasional lifting of light to moderate packages
- High attention to detail needed for shipment verification, documentation, and security logs
- Must follow strict security procedures and compliance regulations
- Fast-paced environment with time-sensitive tasks and deadlines
- May require flexible scheduling, including early mornings, evenings, weekends, or holidays
- Occasional need to respond quickly to discrepancies, delays, or security-related incidents
- Requires frequent interaction with staff, visitors, and the public.
- Work schedules may include days, nights, weekends, holidays, and extended or rotating shifts depending on operational needs.
- Must be able to remain alert, focused, and responsive throughout the shift.
