What We Are Looking For:
Stem is seeking a detail-oriented and organized Contracts Administrative Assistant to provide part-time support to our Legal Department’s contracts and corporate administration function. This role assists the Staff Contract Administration Specialist and the contracts team with the day-to-day administrative work of tracking, filing, and organizing company contracts and corporate records.
This is a 20 hour per week, part-time, exempt position. Schedule is flexible and can be arranged around school, another job, or other commitments, with core availability coordinated with the Legal team.
Responsibilities:

Maintain and organize the company’s contract management system, including uploading executed agreements, tagging metadata, and keeping files current.

Track contract renewal, expiration, and key milestone dates, and flag upcoming deadlines to the Staff Contracts Administrative Specialist and other stakeholders.

Assist with the preparation, formatting, and proofreading of routine contract documents including Non-Disclosure Agreements, letters, and correspondence.

Support the collection and organization of signature pages and other closing documents.

Help maintain corporate records and precedent files, including resolutions, certificates, and governance documents.

Assist with basic data entry and document preparation related to Board and Committee meeting materials.

Perform routine file audits to confirm contracts and corporate documents are complete and properly stored.

Coordinate scanning, filing, and archiving of physical and electronic legal documents.

Support scheduling and calendar coordination for the contracts team as needed.

Assist with other general administrative, clerical, and organizational projects as assigned.
Requirements:
-
1+ years of administrative, legal support, or paralegal experience; exposure to contracts or corporate legal work is a plus.

Associate’s degree or coursework toward a Bachelor’s degree preferred; equivalent experience considered.

Strong organizational skills and acute attention to detail.

Proficient in Microsoft Word, Excel, and general document management systems- IronClad and NetSuite experience preferred.

Strong written and verbal communication skills.

Ability to handle confidential information with discretion.

Comfortable working independently within a part-time schedule and meeting deadlines with minimal supervision.

Reliable, self-motivated, and able to prioritize a variety of administrative tasks.
Work Environment:

Office setting; remote or hybrid arrangements may be considered.

Moderate to high noise levels (i.e., business office with computers, phone, printers, moderate traffic).

Ability to sit or stand at a computer terminal for an extended period.
Physical Demands:

While performing the duties of this job, the employee is regularly required to communicate (talk/sign/type/write) and operate a computer, telephone (or alternative), keyboard (or typing device), etc.

Specific vision abilities required by this job include close vision requirements due to computer work.

Regular, predictable attendance during scheduled hours is required.
